2022: Electronic Contract Automation

On May 4, 2022, the Director company announced the implementation of a project to automate contractual processes and work with violations of labor protection requirements at the Eastern Mining Company (VGK).

Eastern Mining Company (VGK) is a manufacturer power of stamps coal in the Far East, one of the largest suppliers in the countries Aziatsko Pacific region. As of the beginning of May 2022, the company has 24 subsidiaries. VGK controls the entire chain: from production to shipment of products. It has reserves of more than 300 million tons of coal and Sakhalin explored volumes of more than 100 million tons per year. Magadan region

To reduce routine time and paper costs, the company has electronically converted contractual processes and work with violations of labor protection requirements.

Basically, contracts in the HCC are created according to standard forms. The template is automatically selected from the list depending on the document type specified. The employee fills the required fields, the characteristic "Typical" is placed immediately.

You cannot adjust the text in the contract because only certain lines are filled in manually. Thanks to this, the document is protected from unauthorized changes, and work on it is accelerated - the reconciliators do not spend time on deduction. Further, according to the rules, the completed contract goes for approval by the responsible person. They sign it using enhanced qualified electronic signatures (UCEP) in the Directum Solo mobile application. No printouts are required. If one of the participants in the chain delays the document, the task is transferred to its leader. This ensures high executive discipline in the company. The approved contract is sent to the counterparty through the exchange service. In the near future, sending documents to counterparties will become automatic and save the responsible employee up to 4 hours a day.

Occupational safety specialists monitor the performance of safety at the enterprise. Every day they identify 5-7 cases of non-compliance with the rules. Each violation is recorded on a tablet in the Directum Solo application, additionally photos of misconduct are applied. An act is created in the system and signed by the labor protection officer using an EP and by the intruder - by hand signature using a stylus.

Then the process is built along two routes: �� If it is a contractor employee, the system starts automatically generating a complaint. The document is signed by EP and sent to the counterparty through the exchange service integrated with Directum RX; �� If an employee of VGK was guilty, then the act of fixing the violation goes to the personnel department. In parallel, the system creates a draft violation order. The fields in it are filled automatically - from the certificate card.

Then the order is signed by the EP and goes to the violator for familiarization in electronic form.

Results of Directum RX implementation in HCC:

• The volume of paper document circulation has decreased by 80-85%.
• The time for preparing contracts and annexes was reduced by 10 times. At the same time, it was possible to completely exclude errors in the execution of documents.
• The harmonization of documents has accelerated. Managers and responsible persons sign contracts and annexes of UCEP.
• The document flow related to safety and labor protection has completely turned into a figure. The rate of fixation of disorders increased by 5 times.

Digitalization of the HGC continues. The company plans to translate personnel documents, business trips, vacations, advance reports into the electronic type.
