For quality improvement and transparency of accounting, reduction of time for search and data processing and preparation of accompanying documents for shipment it was necessary to adjust accounting of all divisions in uniform information base and according to uniform standards. Besides, in the conditions of a difficult economic situation of 2008 in the enterprise the need for operational production management, sale and sale of vegetable products ripened. As a basis for creation of a modern system of accounting of the enterprise for the reason of flexibility and completeness of functionality the application solution "1C: Manufacturing Enterprise Management 8" on the 1C:Enterprise 8 platform was selected.

The Intelkom company became the partner of agroplant in the project of automation (1C: Franchisee, 1C: Competence Center on production, Kazan).

After deployment of an information system credentials from paper carriers and also from several programs which earlier independently used different divisions were transferred to it. Then the uniform standard for input and data processing was developed. As a result of execution of works on the project at the enterprise accounting, tax and inventory control is automated, account of the reaped crop, its sale and implementation through retail chain stores of the city is kept. Using the mechanism of the distributed information bases of the 1C:Enterprise 8 platform operational data exchange between all workshops and divisions of the enterprise is adjusted.

Accounting of release and movement of products

For each type of vegetable culture data on volume of the reaped crop, on weight the shipped products and weight of products received by the consumer are daily entered into a system. Account of products transferred to processing to canning workshop of the enterprise and also products donated, for example, to kindergartens or schools is kept. Besides, in a system data on goods which are en route are reflected and for this reason it is not reflected in the report of the driver on delivery yet.

A system provides to heads of different level exact operational data on the volume of stock balance, release and product sales, the extent of shortages, volumes of natural losses and damage of goods. Availability of exact data on sales amounts of each type of vegetables allows to plan the volume and term of future harvest taking into account the real sales demand.

Automation of accounting of fuels and lubricants provides daily obtaining exact information on their stock remainders. Earlier these data could be obtained only at the end of the period.

Accounting of sale of vegetable products

Upon each shipment to a system exact data on weight and a description of goods are automatically entered. It allows sales office to create quickly a set of accompanying documents and without delay to send the machine with goods to run. Reduction of time necessary for document creation on shipment led to reduction of unproductive idle times and increase by 10–15% of number of the runs on the product delivery made by drivers.

For each shipment in a system the net weight of goods accepted by shop to implementation is registered. The volume of natural losses of vegetable products when transporting automatically is calculated taking into account coefficients which depend on remoteness of the client. It allows to control most precisely change of weight on each batch / loading of the car.

Optimization of work of drivers

On each driver in a system detailed account of products received by the driver and products accepted by the client is kept. At the same time the difference between the weight of the accepted and transferred products should be in limits of the standard of natural losses. If the actual loss in weight exceeds normative, the difference is subtracted from the salary of the driver. The reliability of the data specified in the report of the driver is controlled by comparison to data in the documents on shipment submitted by the client.

Optimization of work of drivers allowed to reduce losses on delivery of products. The system of cross check provides to the enterprise reliable protection against theft of products on a route and other unfair actions of personnel.

Settlement with clients

Accounting of all divisions of the enterprise in a single system allows using reports quickly and in a convenient type to obtain information on cash receipt from the client, purpose of payment, the created postings of accounting, the executed shipments and also about existence of debt for the delivered products.

Operating control behind receivables helps to take timely actions directed to its reduction.

Cost accounting and analysis of financial performance

In a system the possibility of detailed accounting and allocation of costs on divisions and types of products is implemented. In the future these data are extremely necessary for the analysis of the current economic status of the enterprise and forecasting of the key financial performance.

The flexible system of reports allows to calculate the average price of implementation by each type of vegetables, to obtain as a percentage data on a ratio of standard and non-standard products. It is also possible to determine planned cost, to estimate productivity by cultures and divisions and to compare the received measure values with measure values of the same period of previous year.

As a result of implementation of a new information system in Maysky agroplant 60 jobs are automated. Automation allowed to reduce time necessary for processing of large volume of data and formation of the management reporting, to increase transparency and quality of accounting processes of the enterprise and also to exclude regrading of goods. An inventory control was optimized. The organization of work of drivers and motor transport of the enterprise improved. More effectively services of sale began to work, shipment and delivery of vegetable products to the consumer are quicker and better executed. The management can in details and objectively analyze financial results of activity of the enterprise now and timely make high-quality management decisions.
