2022: Increase the communication speed of head office and production facilities in the regions with Docsvision
The Sucden Group of Companies has automated the process of exchanging documentation between its sugar factories and the Common Service Center (CSC). The solution for the pilot plant was created by BTLab on the basis of the Russian Docsvision platform in 1 month. After the first project, the implementation was replicated to other Sucden plants. This was announced by Docsvision on October 25, 2022.
Sucden has always paid special attention to modernizing its production facilities and increasing the efficiency of internal processes, including through the use of current information technologies. It was decided to unify and structure the processes of processing and transferring primary documentation between the company's plants and the General Service Center in the Moscow office.
Within the framework of the project, it was necessary to solve several key tasks: to ensure the quick transfer of documents from factories to employees of the SSC, fixing the deadlines for sending, control of the performing and accounting disciplines - that is, to make the exchange of documents between the SSC and the factories effective and controlled. For the operational implementation of this task, the Docsvision platform and one of the major partners of Docsvision, the integrator company BTLab, were chosen, which, by configuring a standard solution, completed all work within a month at the first plant.
Positive experience was replicated on all production sites. The users of the system were employees of the central office of the SSC, who process documents received from the plant in the Docsvision system, and employees of the plant documentation support department.
Among the obvious effects from the implementation of the solution on the Docsvision platform, which the company has already felt - speeding up the transfer of documents, reducing the number of losses, the ability to measure the speed of execution and identify problem areas of business processes. The process of exchanging documents has been taken under control, which, with the current large volume of document flow, is an important factor for the efficient operation of the company as a whole, noted the project manager of the Sucden Group of Companies, Vladimir Polyakov.

BTLab ensures the development of the solution. BTLab specialists have completed a number of additional settings and improvements. One example is the reflection in the work of the system of the structural specifics of the SSC of the so-called "accounting sites," which are responsible for specific groups of documents. An employee can consist of several sites at once, in one site there can be several employees. When sending a document, it is the plots that are selected, and the first employee who took the document into work becomes the executor. An interesting refinement was the possibility of mass unloading of electronic documents - for example, all documents for one counterparty.
Work on the project was and remains regulated in time. The company has repeatedly been able to realize the potential of the platform and customize the required functionality in accordance with requests and on time, thanks to flexible Docsivision configuration tools.
