2023: Establishment of a workplace accounting system and a special occupational safety assessment

The process of special evaluation of labor was carried out manually. The results were recorded on  the input media, then recorded in the 1C: Production Safety databases. Occupational Safety " and" KORP 1S:ZUP. " It was necessary to develop a mechanism for automatic generation and filling of jobs with data at the expense of analogues on the side of the salary system based on the approved staffing table. In addition, adapt the mechanism of data exchange between "1S:ZUP KORP" and "1C: Production safety. Occupational health and safety "for the parameters of payroll calculation for each of the 11 legal  entities of TNG-Group.

Key project results:

  • Automated tracking of harmful or hazardous factors and types of work. The remuneration system includes various calculation algorithms related to the nature of work, working hours. Allowances and other charges are recorded.
  • Normalized the directory "Workplaces of employees" for 6 thousand specialists in 11 organizations. This made it possible to eliminate problems related to incomplete or insufficient information, the appearance of errors in names, duplication of information and lack of communication with other directories. The program displays up-to-date information about existing workplaces.
  • Exchange between "1S:ZUP KORP" and "1C: Production Safety" is set up. Occupational Health and Safety "in terms of the results of SOT. A mechanism has been implemented for semi-automatic creation of workplaces with pre-filling of indicators according to templates without human participation. Displays the accumulated errors when defining for free work centers.
  • The labor costs for keeping records of workplaces have been reduced . During the project, a mechanism for enriching workplaces with data was developed based on the results of the SCS.
  • To manage the list of workplaces in "1S:ZUP KOP," an automated workplace (AWS) has been developed, which monitors the status of workplaces, synchronizes the quantity according to the results of approval of the "Staffing list," fills parameters according to the template of the conducted CPS. Statistics on types of work, harmful or dangerous factors, operating workplaces became available for prompt analysis by specialists and company management.

Before the implementation of the project, accounting documents were stored in paper form and registered in the systems manually. Writing, filling out tables and transferring information to an electronic database took quite a long time. Now reports are generated automatically on the basis of the directory "Employees' workplaces," data exchange between systems is organized , and a special assessment of working conditions is carried out several times faster. We thank our colleagues from 1C-Rarus for performing the work as soon as possible. A month after the start of the project, we began to use the updated functionality,

2022: Transition to " 1C: Payroll and HR Management " 3.1 . BUILDING

On September 1, 2022, 1SRarus announced that the specialists of the Kazan office of 1SRarus had completed the project of automation of payroll and  personnel management at TNGGRUPP. Now all divisions of the company keep personnel records and accrue wages in the same system, according to the rules. Payroll is provided with 236 accrual types, 27 deduction types , and 20 leave types for  6,000 employees. Timely submission of regulated reporting.

According to the company, more  than 6,000 people work in 11 legal entities of TNGrupp. The remuneration system combines various and complex calculation algorithms, which is associated with the use of various working hours of employees in subsidiaries and the management company, the rotational method and the traveling nature of work, and district salary regulation for more than half of the headcount.

Previously   , the company used an outdated version of the software product "1C: Salary and Human Resources Management" for personnel accounting and payroll calculation.  At the same time , the system partially lacked the functionality that the company needed for correct personnel accounting. The program included duplicate elements of regulatory reference information, printed forms and reports. In manual mode, behind the loop of the 1C: Enterprise system, individual types of charges were calculated. According to the plans for digital business transformation, the company's management decided to switch to a more modern version of the product - "  1C: Payroll and HR Management " 3.1. KORP. The implementation partner was the Kazan office "1SRarus." During the 18 months of the project, the system was deployed at 200 workplaces. All divisions of the company maintain personnel records and accrue salaries in one system , in accordance with the accounting policy of each organization.

Key Project Deliverables:

  • The full cycle of payroll for  more than 6 thousand employees , taking into account various criteria and features, takes no more than 10 working days.
  •  The methodology of personnel administration and payroll has been unified and optimized.
  • Payroll is provided taking into account 236 types of accruals, 27 types of deductions and 20 types of vacations.
  •  185 types of printing plates and reports were processed - 106 of them are adapted for 1S:ZUP 3.1. The remaining 79 were classified as doubles or cancelled.
  •  The algorithms for calculating piece orders were unified and optimized , taking into account the specifics of the enterprise, the conversion of the monthly tariff rate into an hourly rate both  in different subsidiaries and affiliates (subsidiaries),  and within the subsidiaries. The settlement system has become transparent to 1S:ZUP users.
  • Accounting of employees' salaries in the context of contracts and orders is organized. The calculation of northern allowances, vacations, seniority and district coefficients is automated. The system calculates reserves of short-term accruals - for quarterly and annual bonuses.
  • Accounting of accruals for foreign divisions of the company was organized , taking into account the peculiarities of the legislation of the countries in terms of tax collection.
  •  The program displays up-to-date information on employee leave balances , taking into account the specifics of the enterprise.
  • The Company has launched functionality for accounting for training, personnel reserve, recruitment, individual employee development cards.
  • The system is started taking into account 1C RLS (Record Level Security) or restriction of rights at the record level. Setting user rights in the 1C system allows you to divide rights for users in the context of dynamically changing data.
  • On  average , the system draws up more than 15,000 personnel and settlement documents per month.

1SRarus specialists also introduced their own development to account for non-working pensioners who are in the Union of Veterans. Previously, accounting was carried out in tabular documents, the information was not systematized, there were problems with tracing the history and searching for the necessary documents. Thanks to the updated system, the unification of data for all organizations has been carried out, accounting has become more transparent, the history of all charges, personal data, the provision of sanatorium-resort vouchers , etc. Templates have been created to provide all necessary reporting.

The updated and refined functionality of 1C: Payroll and HR Management system made it possible to optimize the complex calculation of wages according to the necessary criteria. Thanks to the unification and optimization of the personnel administration methodology, this process has become more convenient and accurate.
