2022: Implementation of 1C: Integrated Automation for Belarus
The trading company Algotreid has automated the management of purchases and sales using the 1C: Integrated Automation for Belarus system. This was announced by 1C on October 31, 2022. The processing of customer requests has accelerated, when receiving an order, the system promptly forms commercial offers, contracts and accompanying documents. Managers quickly negotiate orders and make deals. Increased control over mutual settlements with suppliers and buyers. Receivables are reduced by 10%, customer orders are fulfilled 15% faster.
The company receives 200-250 requests for the supply of equipment every month. For timely fulfillment of orders, it is necessary to promptly plan purchases and shipments, quickly process incoming applications and draw up related documents, and control mutual settlements with counterparties.
Previously , disparate programs were used for operational management and accounting in the company. Each manager recorded transaction data in his spreadsheet, some of the information remained in e-mail , in which correspondence with the client was carried out. The processing of orders took a long time: each employee took more than 20 minutes only to form a commercial offer and at least 15 minutes to conclude an agreement with the client for an agreed delivery. The accounting department displayed the fact of implementation in an outdated accounting program. The cost of production, revenue and profitability of sales were calculated manually. It was difficult to control the work and payments on transactions, plan the supply and shipment of equipment.
The company began to need an information system that would allow:
- "Bring" all data together: eliminate the need to track transaction information in different sources, solve the problem of data duplication;
- Organize and "digitize" operational accounting of the movement of products - from procurement to shipment to the buyer;
- Speed up the processing of incoming applications, the execution of business proposals, contracts and related documents;
- Strengthen control over the work of managers and mutual settlements with customers and suppliers;
- Improve purchasing and sales planning;
- Establish accurate accounting of costs, ensure the prompt calculation of the actual cost of sales, profitability and other indicators of the company's work.
- The partner in the project was the company "SoftService" - the leader among 1C: Franchisee in the Grodno region. To solve the tasks, the 1C: Comprehensive Automation for Belarus system was chosen.
Key Project Deliverables:
- The system displays all information about purchasing, sales, banking, cash and warehouse transactions online. Reports on cost and other performance indicators are promptly generated. This allows management to monitor and plan the operations of the units in real time.
- The processing of orders has accelerated. Based on the received customer requests, the system automatically generates documents: quotations, contracts and accompanying documents - by the signature of the responsible employee. Managers quickly agree on the terms of transactions, request the cost of the necessary equipment from the supplier, send a commercial offer to the client, and agree on delivery and payment dates. Customer orders are 15 % faster.
- Control of cash flow and mutual settlements with counterparties has been strengthened. At any time in the system, you can find out at what stage the order is being executed and when payment should be received. Important information for each order is highlighted in the system in the appropriate color, the manager immediately sees what to pay attention to. As a result, receivables decreased by 10%.
- An accurate calculation of the actual cost of goods sold was ensured, the calculation of profitability of sales was accelerated. This helps the company control the profitability of transactions and set competitive prices for products.
- In addition, in accordance with the requirements of the legislation of the Republic of Belarus, data exchange was carried out between 1C: Integrated Automation for Belarus and the national Portal of Electronic VAT Invoices. Electronic invoices are automatically transferred to the Ministry of Taxes and Duties.
The implementation of the project confirmed the correctness of the decision - a single comprehensive information system was created on the basis of "1C: Comprehensive automation for Belarus, edition 2." As a result, the business became more transparent and managed, the company's work in the following areas was improved: presale, sales accounting - from purchase of goods to sale with the provision of related services, installation of equipment and its warranty service.
