Tekhnobank of Belarus starts the decentralized EDMS

System implementation of electronic document management "CASE" is begun in JSC Tekhnobank. The project conducts RUP "Center of Electronic Document Management" of BGU.

At the Beginning

The management of bank made the decision on implementation of a modern electronic document management system against the background of increase in volumes of the processed correspondence, the increasing requirements to technology of management of documents, need to improve information exchange of all structural divisions of bank, first of all, of territorially remote.

Readiness

In July-August, 2010 in office of the central office of bank jobs of employees are automated:

• examination of a system of managerial document flow of Bank is conducted;
• schemes of the movement of different types of organizational and administrative documents, structure and types of interrelations between them are developed;
• installation of a system, the DB setup and reference books taking into account process optimization of preparation and the movement of documents is carried out;
• for creation of electronic base of documents the option "Scanning" is configured, the document scanner is set and connected;
• individual training of specialists is provided;
• templates of magazines of document registration are developed.

Result

Implementation EDMS "CASE" allowed to get the following advantages in office:

• transition from the journal registration form of documents to automated;
• operating control of execution of instructions according to documents;
• convenient and quick search of information on documents on any details of the registration card (RC);
• program formation of registers of document transfer, magazines of registration of the entering, outgoing correspondence, internal documents.

The first stage begins creation of hostless system of e-document flow of bank - exchange of documents between the central office and branch in Minsk happens in electronic form. It solved a problem of territorial remoteness of branch (the possibility of joint work within uniform infrastructure is provided) and reduced the volume of not registered internal correspondence of branch.
