The company ST Ural has started implementing ECM a system DIRECTUM in the company. "KonsOM SKS" One of the features of the project will be the electronic translation of key documents of the company's project activities.
The main activity of KonsOM SKS is the implementation of integrated integration solutions in the field of IT infrastructure and automation of large state structures, industrial enterprises, banks, small and medium-sized businesses of the Ural region. Since its inception, the company has implemented more than 570 projects of various scale and degree of complexity.
The dynamic development of the business and the increase in the number of supervised projects in recent years has been increasingly hindered by outdated methods of working with documents. Due to the shortcomings of paperwork, the approval and processing of documents was delayed, the storage of important and confidential documents was difficult. Plus, the company was in dire need of a unified relationship management system with customers and partners. To overcome this situation, the company's management decided to introduce an electronic document management system.
The choice of the DIRECTUM system was due to its rich functionality and positive examples of implementation in design organizations (OJSC Giprogaztsentr, State Unitary Enterprise "Design Institute for the Design of Urban Engineering Facilities" Lengiproinzhproekt "). In favor of the system, the presence in the region of an experienced partner of DIRECTUM - the company ST Ural - testified, which made it possible to start the implementation project in the minimum time frame.
The project began in December 2009, and by the beginning of January 2010 all preparatory work was completed: a study of business processes was carried out, design solutions were prepared, and leading users were trained. Today, the company deploys and configures the system on users' workplaces.
DIRECTUM will be put into commercial operation at the end of February 2010. By this time, all employees of KONSOM SKS will work in the system - more than 115 specialists, including management, which will be able to view and approve electronic documents using EDS.
As a result of the implementation of the system, all key tasks related to document management and interaction will be solved: processes related to the processing and movement of documents will be accelerated, the time for creating and searching for documents will be reduced, the work of the office will be automated, new mechanisms for monitoring the execution of orders will be introduced, a single corporate knowledge base will be created, and the company's information security will be improved. In addition, the management of processes related to the control of business obligations will go into the system - this will allow you to more clearly build relations with business partners and customers.
Also by this time, the process of coordinating service notes will be completely electronic. The peculiarity of this process is that the service notes perform the function of administrative and technical documents in the context of the project activities of KONSOM SKS. After the implementation of DIRECTUM, they will be created and approved exclusively in electronic form. Thus, the DIRECTUM system will solve a number of critical business tasks related to document management and interaction at KonsOM SKS. An important result of the implementation will be the formation of a single information space, which will raise the level of corporate culture of employees and optimize interaction both within KONSOM SKS and with external organizations.
