Every year, the Delivery Club document management service processes a large number of primary accounting documents. To reduce the burden on operators, it was decided to automate data entry, transfer work with them to electronic format and create a digital archive. Konica Minolta, which owns serious expertise in this direction, joined the implementation of the project. Key processes were set up and started in five months.

At the first stage, the integrator's IT team implemented the EasySeparate optical document recognition system. It allows you to maintain a full cycle of processing primary accounting documents that are received by the Delivery Club both on paper and in electronic form.

To export the processed data, the specialists of both companies integrated EasySeparate with. accounting system SAP As an auxiliary tool for uploading reference books of counterparties and items, their synchronization, as well as creating requests for spending funds in SAP, they were developed software robots on the platform. Robin A preliminary assessment of the possibility of implementing such tasks of the customer using - RPA technologies showed that it is a bundle ERP of -systems with that robots will be the most cost-effective option. Direct integration would cost significantly more.

Already at the testing stage, the operators of the Delivery Club document management service noted that the time cost of processing the documentation was reduced by 20%, and the process as a whole became easier and more convenient.

By implementing flexible, comprehensive tools, the company can quickly manage a large flow of documents, reducing the potential risk of processing errors and speeding up data entry into SAP. The burden on employees has noticeably decreased, as well as the number of routine tasks. It is also important for Delivery Club that the project used Russian, import-independent solutions. The finished solution greatly simplifies the work of Delivery Club employees with documents. Software robots in tandem with OCR increase the accuracy and speed of the recognition process, reduce errors in data processing, and simplify the task of integration between systems involved in the process. Of course, it is still impossible to refuse human participation, but it is quite possible to free up some of the resources.
