• Requirement of Construction Customers to work with DPP in a single exchange environment; data
• Interaction on the project of several legal entities;
• Several stages of coordination with participants from different companies;
• Opaque documentation approval procedure.

Implementation Project Objectives

• Organize an electronic archive of technical documentation in projects;
• Automate reviews and approvals of technical documentation of different types: OTR, PD, RD, WED, MAF, SAF, ID;
• Automate approval of change permits;
• Obtain a tool for monitoring the implementation of documentation approval procedures.

Project progress:

• At the enterprise, the IT service prepared equipment and basic software for installing and configuring the system
• Installed system in basic configuration, automated workflows
• Data on documentation structure, methods of accounting and acceptance of documents, approval processes were collected and analyzed
• Configuration of the standard template project documentation storage structure has been made
• Modifications and settings of standard approval processes have been carried out
• Employees responsible for the system in the enterprise have been trained
• The first working project is deployed on the basis of the template project
• User instructions have been prepared and user training conducted by the employees responsible for the system in the enterprise
• Users have been connected to use the system
• In the first seven months of use:
  • several work projects were launched, in which employees of 5 different organizations interacted
  • 1377 reconciliation processes were launched, 4104 tasks were delivered to the coordination participants
  • 6505 comments registered in the system

• The development of the system at the enterprise continues, the number of projects in 2 years is 10.

• The reconciliation result is displayed immediately as a status in the system
• Automated registers allow you to analyze the situation right in the system
• The Remark Register allows you to quickly localize weaknesses in the documentation

System Usage Results

• All participants in the construction project see the documentation in a single centralized place, which made it possible to solve the problem of discrepancies in discussions and coordination.
• By automating the document approval process in the system, the approval status is transparent and more manageable. The transfer of approvals from e-mail to Vitro-CAD reduced the number of violations of the approval period by 50%.
• The system records comments on the documentation packages and collects data to analyze the structure of the comments. This made it possible to better prepare technical specifications and evaluate the work of design contractors.
