2023: Implementation of HRlink Electronic Human Resources Document Management System
The power engineering company "Power Machines" refused paper in HR. The company expects that the result of the introduction of the personnel EDO system by the end of 2023 will be equivalent to two FTE employees due to the acceleration of work with documents. Up to 5,000 employees should switch to paperless HR by the end of 2023. This was announced on April 3, 2023 by representatives of HRlink.
The main business customer of the project was the Unified Service Center (CES, approx. - Corporate CSC), which provides internal services for Power Machines employees. The group of companies has 15 legal entities, and the staff is about 14 thousand people. The volume of personnel documents that pass through the CES every day is colossal. In order to reduce the burden on the center's employees and the timing of signing documents, it was decided to abandon the paper and switch to personnel EDO.
When choosing a system, attention was paid to several factors. The first is the convenience of working with the EDM system for different categories of employees with different levels of technical skills. For example, Power Machines has about 7.5 thousand workers, and they should be comfortable using the product, including from mobile devices.
The second criterion is the ability to work remotely in the system. Power Machines representative offices are localized in different countries. It is important for the company that the system is accessible to employees anywhere in the world, including those who do not have a permanent workplace in the form of a computer connected to the corporate network.
In addition, Power Machines chose a system where all three categories of personnel documents were implemented: employee statements, documents from employers, as well as local regulations.
Finally, it was important for CES employees that the system was already deployed in similar conditions - they paid attention to cases in production. HRlink HR EDO system met all the criteria.
The research of offers on the market took about six months. The company wanted to get a ready-made solution, both in terms of market experience and in terms of ease of interface and system operation. When the service already has a wide user base, this is immediately noticeable. In HRlink, a simple, convenient and understandable interface was noted - just this is needed by the user, commented Konstantin Penzin, project manager at Power Machines.

By the beginning of April 2023, a pilot project was completed at Power Machines, within the framework of which a number of functional units were transferred to the personnel EDO - about 150 employees in total. As a result of the pilot, it became obvious that the processes of coordinating documents that used to take about a day can now be implemented in an hour.
Set up integration with. As SAP a result of the project data , employees who work in the company will be fully synchronized between the main accounting system Power Machines and HRlink. In addition, information applications from employees will be available in the incoming document log in SAP.
In 2023, Power Machines is faced with the task of transferring from 2.5 to 5 thousand employees, including workers, to personnel EDO. Also, in a company where up to 5-6 employees can participate in the process of signing documents, they plan to use the HRlink functionality for flexible document coordination.
