The implementation project of DIRECTUM in OGK-4 is complete

The Akelon company completed implementation of the DIRECTUM ECM system in JSC OGK-4, the largest thermal wholesale generating company in Russia on sales volume. Within the project processes of office-work and management of meetings were automated.

Core activity of JSC OGK-4 – production and sale of electrical and thermal energy. The volume of the electric power made at power plants of the company is about 5% of summary jurisdiction of the electric power in Russia. In addition to the primary activity the company actively is engaged in investments: projects on construction of new capacities on Surgut-2 Power Station and Yayvinsky state district power plant and also preparation for construction of the 3rd power unit of Berezovskaya GRES are kept. Recently the new block on Shaturskaya GRES was put into operation.

When implementing large-scale investment projects specialists of JSC OGK-4 steadily are faced the need of processing of the large volumes of documentation including project and contractual documents, results of intensive correspondence with contract organizations and regulatory authorities and also solutions of meetings on projects which protocols can occupy up to seven sheets. In these conditions quick access and convenient work with documents and also the effective organization of meetings and performances of protocols play a crucial role in activity of the company.

For ensuring effective work with documents and meetings with the management of JSC OGK-4 it was headed for system implementation of electronic document management. As the solution the DIRECTUM system meeting all requirements of the company for functionality, scalability, integration opportunities and stability at simultaneous operation of a large number of users was selected.

The implementation project started at the end of July, 2010 and lasted three months, having come to the end in October. Originally implementation it was going to cover Blok of investments and development who is engaged in projects of new construction and also Services of capital construction on branches of Shaturskaya GRES, Surgut-2 Power Station, Yayvinsky state district power plant, Berezovskaya GRES. However during the project the decision on automation expansion therefore in DIRECTUM clerks of all executive office of JSC OGK-4 work now was made.

The module Office using which basic processes of office-work were automated became a core of the implemented functionality. Thanks to this module specialists of JSC OGK-4 had an opportunity to control execution of instructions on incoming correspondence, to address uniform archive of documents and to quickly trace all history of correspondence.

For creation of the effective mechanism of control of execution of the decisions made at project meetings the functionality of the standard module "Managements of Meetings" was processed. On its basis, considering specifics of activity of the company, the new solution for management of meetings on construction projects was created. The new functionality provides a possibility of automatic creation of events in an outlook calendar directly from DIRECTUM for more effective organization of meetings on projects with a large number of participants from different divisions.

At the moment all correspondence of Executive office including according to investment projects, it is fixed in a system. Gradually the staff of services of capital construction of branches where investment projects are implemented are connected to work in a system.

Thus, thanks to implementation of DIRECTUM JSC OGK-4 solved key problems of reduction of number of routine transactions with paper documents, creation of the effective mechanism of work with meetings and the general quality improvement of interaction of employees.
