In Kurgan region duma the company of Businesstekhnologiya completed system implementation of electronic document management "CASE".
Start
The full-fledged work on implementation EDMS "CASE" in to thought of the Kurgan region began in May, 2009: project inspection, description and approval of reference books of a system, description of settings for the working model of office-work.
Next step
Training of specialists and heads of Kurgan region duma became the next stage.
Last one
Drawing up technology and user instructions, development and making changes in existing regulations of operation of the office of Kurgan region duma became the final stage of the project.
On the way
In the project progress some features are revealed:
- nominally selected substructures corresponding to committees and the commissions of the Duma for the purpose of creation of a single system of document flow both committees, and region duma in general;
- the selected division Deputies with inclusion as officials of deputies of region duma;
- introduction of the separate document "Order of the Head of Department" (so-called "oral orders") for systematization of accounting and control of completion date.
Results
Results of implementation of EDMS:
- opportunity more effectively to organize collective work on documents;
- productivity of work with draft documents regarding approval and a statement its in electronic form and also an opportunity for work with versions of the draft document increased;
- control of execution of instructions;
- use of technology of line scanning and scaling of a system allowed to lower fixed costs on clerical expenses;
- costs of time for information processing decreased;
- the efficiency of obtaining necessary information increased.
EDMS "CASE" had an impact on the organization of work of the general department EDMS "CASE" Kurgan of region duma]]:
- time for document registration was reduced;
- losses of information through creation of electronic archive of documents are excluded;
- mailing of documents by e-mail is automated;
- printing of envelopes for sending documents is automated by mail;
- time for preparation of statistic reports on work with documents is reduced.
The project managed to be completed prior to the beginning of 2010.
