2023: Creating a single digital space for document management

First Bit on June 20, 2023 announced that together with RTU MIREA, they developed a single digital space for document management.

This solution automated many processes in the university, strengthening the integration of its divisions and repeatedly increasing their efficiency. The project lasted one year. As a result, more than 600 jobs have completely switched to digital information exchange.

Before the project, accounting, human resources and financial accounting at the University were already automated, but users still entered some of the data manually.

The next step was the transition of the rest of the document flow: letters, memos, orders, orders and other internal documents to electronic format in the 1C system: Document flow of a state institution (1C: DSU).

A complex architecture of document handling processes has been built: from registration to approval, revision, signing and control of document execution. In the system, you can quickly find any file and see the entire history of the document in a convenient format with comments from performers and task managers with execution time.

The large-scale tasks facing the University and changing legislation required the creation of a modern unified information system. As a result of the project, the following was established: integration 1C DSU 1C: Public Institution Accounting Department with and. 1C: Payroll and personnel of the state institution This made it possible to update data about system users for dismissed and accepted employees in real time. The system has become adapted to the complex structure of the University, where a significant part of the employees are part-time.

The submission of regulated reporting has accelerated several times, auto-filling mechanisms are used, the data collection process has become transparent and fast.

The system made it possible to reduce the time to run around the offices, reducing the risk of losing the necessary papers. All data is now stored in one place in specific folders under the control of the responsible executors.

The level of discipline has been increased, it has become transparent which orders have been completed and which have not and for what reason. It is also easier to track the work of employees as a result of setting up time and attendance.

During the project, electronic signatures were set up for employees, which, among other things, led RTU MIREA to abandon excessive paper document management. Thanks to this, the university has become more environmentally friendly.
