Case becomes a part of CIS of the Ministry of Economics

In the Ministry of Economics of Republic of Belarus system implementation of EDMS "Electronic DELO" based on the solution "CASE" of EOS Group company is complete. Within development of a system the partner of EOS Group in Republic of Belarus the Electronic DELO company completed on December 12, 2011 the works on workflow automation of several structural divisions of the ministry.

EDMS "Electronic DELO" functions in the ministry since 2010. At the first stage of implementation work of specialists of Management of control and office-work, administrative assistants the and also employees responsible for office-work in head departments of the ministry was automated. Besides, the option "Line Scanning" which allows to attach the electronic copy of the document to a registration card was set, to recognize its text, and if necessary, to insert elements of the recognized text into fields of a registration card.

In 2011 within scaling of a system by Electronic DELO company the following works were carried out:

• preproject inspection of the workflow system of the ministry;
• research of basic functions of structural divisions of the ministry, automation subjects;
• studying of the operating technologies of passing of documents, the existing system of execution and control of execution of documents;
• development on the basis of data retrieveds of schemes of the movement of different types of organizational and administrative documents;
• reorganization of reference books of a system, setup of user rights according to the described access rights of specialists of managements to functions in a system.

For operational obtaining information on receipt of new documents in the ministry the module "Monitoring of Offices" was installed (development of the partner of EOS Group – KS — Consulting companies, Barnaul). This module allows to receive online the notification on receipt of the new document in the user's office.

After setup of base user training was organized and provided. All users of a system were separated into categories according to the functions executed in a system, for each category of users technologists of a system of Electronic DELO company offered the special training program. After training in users there were consultations directly in their workplaces. For methodical user support instructions according to the operating technology process were prepared. As a result of the given methodical support users could get surely to work with a system, responsibly and correctly performing all necessary operations with electronic documents.

Now training of system technologists in staff of the ministry who will be able independently to accompany a system is provided.
