2023: Convenient sharing of access: Tricolor case
The company chose a new distance learning system (RES). Websoft HCM was the best solution for several reasons: ease of administration, modern portal design, the ability to modify, flexible settings, and a variable reporting system.
Project scale
First, the company deployed the system to a division of 700 people, recently added a partner direction for another 800 users. The organizers of the project plan to involve the entire company, as well as partners - a total of more than 5,000 users.
What they faced
At first, it was planned that only full-time employees "Tricolor" would use RES, but after implementation it was decided to deploy the system to the company's partners. Therefore, it was necessary to distinguish between access and viewing rights for various educational content (courses, tests, electronic library) and news for users. For example, partners should not see internal, content some of the company's users should have a minimum of access, and the other part should see everything.
Main categories of RES users
- Service Support Group.
- Sales Team.
- Partners.
Task
Each employee category must have its own up-to-date information.
What's done
- The company conducted user analytics and compiled an access matrix that was easily configured in Websoft. Five groups within the organization and six for partners were created, as well as another group that included employees overseeing the portal's content. Almost all groups are dynamic and updated every day.
- Categories were defined for courses, tests, materials and libraries. Access to them has been set up so that employees cannot open direct link courses.
- Additional sections of the portal were organized, in the access settings to which the necessary user groups are specified.
- For certain sections and widgets, access rights were set on the portal pages - now employees only display those sections and widgets that are relevant to them.
How does it work
The implementation was successful and the following processes were configured:
- Personnel - for user management, organizational structure, and automatic import from 1C and manual import of partners.
- Distance learning - to maintain a database (create, import, edit) of electronic courses, assign them to users and track the learning process.
- Testing - for training and examination tests.
- Training center - for face-to-face events.
- Gamification - to involve users in the learning process.
Results and results
- The training portal has become more convenient for employees: administrators immediately create courses, tests, materials, news in their categories and select the necessary groups in the access settings.
- Everyone has one entry point, there is no need to create different sites with their own addresses and design.
- The delimitation of rights is also applicable for a mobile application: after delimitation for users, the content of the mobile application is identical to the content of the portal.
- Everything you need was configured in a boxed solution from Websoft.
