Managers plan multiple growth, and this is impossible without clearly structured processes, transparent control of projects at all stages of the life cycle, coordinated interaction of all divisions of the organization. To do this, it was decided to introduce a project management information system based on the Russian digital platform ADVANTA.

Previously, the construction sites, offices, production and sales technical department and service of the technical customer ─ divisions of the customer, directly responsible for the implementation of projects, worked in the Excel Google tables, partially in. MS Project Collection of data project status, internal and external document flow, discussion of work issues was introduced in different programs. on Information projects was scattered, often lost relevance. Significant employee time was spent only on finding the desired figure or document. Inefficient work of employees was often the reason for financial the loss of the company.

Management planned to rectify the situation and support the growth strategy by introducing a single tool for automating processes. Having digitized the processes, they hoped in the future to receive operational data on the costs and revenues of projects on dashboards, to form an optimal wage fund, a resource accounting system and optimize key indicators of projects. All these tasks can be closed even with the basic functionality in the ADVANTA system.

Our choice fell on ADVANTA, since for ordinary users the system is easy to master and work, very close to MS Project. Compared to the analogues that we managed to try, everything is very beautiful, understandable, clearly. Initially, there was concern that the solution was only suitable for large companies. On the recommendation of one respected expert, they decided to implement. We started with a demo, realized that the system is working, the main thing is to build the project tree correctly. Tasks before system implementation:

  • Optimize construction project management processes;
  • Establish communications and document flow within the framework of a single information system;
  • Increase the number of simultaneously implemented projects;
  • Ensure the possibility of long-term project planning: regulate the sequence of work with further linking to them the financial component ─ budget planning, budget execution, identification of gaps and underfunding.

The following was done:

  • A temporary demo show has been created, taking into account the specifics of the company. The customer assessed the system performance and flexibility, understood the settings and was able to implement the implementation in-house with consulting support.
  • A unified electronic register of the company's projects has been formed, which made it possible to create projects from a template, record basic project and work plans, and also control the achievement of control points on them. Here you can always see up-to-date information on projects online, which means that it is time to make decisions on emerging problems and prevent deadlines. Statuses for all projects are summarized in the final project portfolio monitoring report.
  • A structure for storing project documents has been created. All documents are stored in one place, it is possible to attach the necessary documents to projects and tasks, update their content, save change history and past versions. It is very important for the client that the builders work according to the latest modified version of the working documentation, so that it is possible to leave the old but fix the current version.
  • The functionality of approvals and discussions has been configured. Thanks to this, working issues are resolved more quickly, all interested parties have a single version of the truth about the decisions made.
  • The procurement process is automated. This step allows you to optimize the process, reduce downtime due to the lack of necessary materials and components.

Ultimately, we mastered and implemented the system in 1.5 months. Now ADVANTA as a social network within our company, create projects in it, create, solve problems, attach documents, interact. Due to automation, it was possible to optimize some of the processes by at least 30%. Discussions and approvals with the attachment of documents and the connection of the leader were very "entered." The tasks with document management are solved by about 70% in October 2023. Integration with MS Project is made. The next stage will be setting up the finance circuit, planning, displaying the necessary indicators on the dashboard.
