The ADVANTA digital platform has been implemented by MGIMO. The company Advanta Advanta announced this on November 14, 2023.

An IT tool was required that would logically build a project tree, structure all university projects in a single register, and regularly receive prompt and reliable reporting on them.

One of the key conditions of choice was that ADVANTA is a Russian platform developed using domestic project management experience. It offers great functionality, convenient visualization and the ability to analyze data in different sections.

Tasks:

  • Implement a single university project portfolio monitoring tool and a convenient communication environment for project participants
  • Optimize project management processes, build a mechanism for collecting and systematizing large amounts of project data
  • Automate regular internal and external reporting
  • Provide visualization with the possibility of detailed assessment of the situation by projects and portfolio through interactive online dashboards

In the project:

  • A project tree has been created for the current organizational structure and business processes of the university. All projects are in the same place and arranged in a hierarchical order. It is possible to link and store project documents. All information is available 24x7.
  • All existing projects of the university have been transferred to the system: templates of standard projects have been configured, their passports (cards) have been filled in, managers have been appointed. Projects are consolidated into a portfolio, a period of collection and reporting has been established for both individual projects and the portfolio as a whole.
  • Control method for control points has been implemented. The levels of control points, the deadlines responsible for their achievement are set. This allows you to conduct phased control, track the degree of implementation of projects, predict risks.
  • Statuses are collected by checkpoints, projects and portfolio in automatic mode. To do this, the system has configured reports and dashboards with operational and summary information on the status of projects. Dashboards reflect the quality of portfolio management: the availability of an agreed schedule, the fulfillment of tasks for each project. Separately, problematic projects are highlighted, for which there is or is predicted to be a failure in the deadlines.

Results:

  • On the basis of ADVANTA, a digital project management system has been created. All participants have access to a single project data source.
  • Increased transparency and manageability of university processes and projects. The management at any time has up-to-date information on the status of individual projects and the entire portfolio as a whole. A system for coordinating estimates in relation to the project tree has been established, project finance data is being monitored and uploaded within the framework of the state program.
  • Several times reduced the time for planning and collecting reports on projects (internal - for the leadership of the university and external ¬ - for the Ministry of Education and Science and the Ministry of Digital Development of Russia).
  • Improved speed and quality of management decision-making on projects.
