On December 13, 2023, it became known that the grain logistics company Demetra Holding centralized HR processes and the payment of salaries to 2000 employees

As reported, against the background of the digitalization of business processes in the group of companies, the constant growth of the number of legal entities and the staff of employees, the management of Demeter Holding set the goal of restructuring the sprawling IT landscape on the basis of 1C systems, namely 12 previously introduced 1C systems: Salary and personnel management (different versions of PROF and KORP).

It became necessary to switch to a centralized information system for personnel accounting and payroll calculation on the basis of 1C:Enterprise 8 CORP platform for all legal entities and branches of the holding.

Pre-implementation situation:

  • It was necessary to unify the processes of personnel workflow and payroll. At the time of the start of the project, each of the holding's 12 companies had its own system of policies in terms of remuneration and reference books. Accordingly, there were various improvements in the current databases that contradicted and complicated the support of these systems. It was necessary to unify/update the list of the main processes of personnel and settlement departments within the framework of the standard 1C functionality: Salary and personnel management 3.1 KOP. It was also necessary to update the settings for data exchange with complex and accounting systems used in companies (1C: Holding Management, 1C: Accounting, 1C: Manufacturing Enterprise Management, 1C:ERP Enterprise Management). In addition, it was necessary to take into account that the settings of accounting systems of different companies differ, both in terms of the chart of accounts and in terms of individual accounting methods (for example, in some companies there is a provision for bonuses, and in others - no).
  • Centralization of systems was required:
    • The holding companies used an extensive organizational structure. Accounting for personnel workflow of management was introduced in 12 different databases 1S:ZUP 3.1 versions of KORP and PROF with different levels of customization;
    • It was necessary to organize a phased data migration for the entire group of companies. The depth of the transfer was 2 calendar years;
    • Updating of reference books and modifications as bases are connected to a single system;
    • After completion of each stage of the migration, the data between the source and target base should be reconciled, and within 1 month - parallel operation of historical and centralized systems with reconciliation of reports on the consolidated companies;
    • Add users to the central 1S:ZUP database and configure access delimitation.

WiseAdvice-IT was chosen as the automation partner.

The implementation of a centralized system for managing personnel and settlement processes in Demeter Holding took place in 3 stages by groups of companies:

  • Groups of companies 1-3 (6 legal entities);
  • Group of Companies 4 (3 legal entities);
  • Group of Companies 5 (3 legal entities).

The project itself was implemented using a cascade implementation technology, divided into the following stages:

  • Pre-design survey: conducting interviews, analyzing current information systems 1S:ZUP 3.1 versions of the PROF and KORP, analyzing the role model, analyzing the server infrastructure, analyzing integration flows with related systems, developing a technical assignment.
  • Unification and migration of 1S:ZUP configurations (development and testing of data migration mechanisms, unification, adaptation and testing of modifications, development of additional system settings) at certain stages in all groups of companies.
  • Preparation for commissioning: IE deployment, migration and reconciliation of historical data, setting up standard and additional functionality, launching integrations with related systems.
  • Pilot operation: advising users on groups of companies, eliminating comments.

Project results:

  • A unified information system was created on the basis of 1C: Payroll and HR Management 3.1 KORP, combining 12 previously disparate bases;
  • Migration to the updated system of historical data required to calculate the average daily earnings for vacations, sick leave and formation of an employee T-2 card;
  • Standardized processes of payroll and personnel accounting within all holding companies;
  • The efficiency of obtaining information and ensuring its reliability for making management decisions has increased.
  • The transparency of payroll and human resources processes has been improved;
  • Unified, modified and implemented more:
    • 28 extensions;
    • 19 treatments;
    • 60 printed forms and reports;
    • 35 profiles of access groups with security (RLS) at the level of individuals, as well as modified roles;
    • 4 integrations with financial accounting systems on the 1C platform (1C: Holding management, 1C: Accounting, 1C: ERP);
    • 2 integrations with related systems on the third-party software platform (Canteen, Bitrix);

  • 2 relevant documents have been developed for further operation of the system:

    • User Guide;
    • Operating instructions with a description of all modifications, system settings.
