2024: Introduction of Advanta Project Management System
On January 25, 2024, Advanta Advanta announced the automation of business processes in the United Europe Group of Companies. 4 months from the requirements setting to the commissioning, a project management system for the development and production of cosmetics was created.
As reported, the company has a branch structure. Each branch has its own office, warehouse, transport fleet for delivery of goods, staff trade of representatives and consultants, subdivision, marketing planning and analysis. The holding includes enterprises for the contract production of cosmetic products capable of producing up to 250 SKUs of decorative cosmetics, including accessories, perfumes and care products.
After the departure of Western competitors from the Russian market, the number of projects, brands and products produced by the company increased sharply. Difficulties with project control began to arise. It was no longer possible to enter dozens of projects manually - in Excel, on paper, each direction in its own way and independently of others.
The company's management needed a single methodology and a single tool for managing projects and portfolios. Of the several options, the project management information system based on the ADVANTA digital platform was chosen. The choice in favor of this decision was made for several reasons. Firstly, this is a Russian vendor. Secondly, it is not just an IT tool, but a functional solution with an integrated project control methodology that can support all current company processes. And thirdly, a flexible system that does not require additional programming and analyst content in the state.
The top management of the holding plans with its help to reduce the time and optimize the quality of projects for the development of brands and products. And due to this, expand the sphere of influence in the domestic perfume and cosmetic market, covering the needs of the Russian buyer in most segments and niches.
The tasks that the customer has set before the implementation:

What was done during the implementation process:
- The basic principles of the project management methodology have been formed.
- The customer's team has reengineered a number of holding business processes.
- A project register has been created, projects are grouped into portfolios and directions.
- You have set up cards and project templates.
- Milestones have been identified to monitor the execution of project milestones.
- Reporting is set up with the required set of indicators, which automatically notifies managers within the system and by e-mail about project status, possible risks and problems.
What results were achieved with the implementation of the project management information system:
- The time for the formation of project schedules on average decreased by 10 times: from 8 hours to 40 minutes.
- The time for data collection and reporting decreased by 10 times. Most of the information is available online.
- Due to the emergence of a register of projects and dashboards for all projects of the company, the general director and project managers have the opportunity to own up-to-date information on the state of the portfolio and individual projects, to see which ones are on the schedule and which ones require increased attention, to make timely decisions based on objective data.
- The loading of 50 + project employees is monitored, excluding downtime and workover risks.
In the future, the customer plans to finalize project templates for user requirements and scale the solution to other departments.
