2023: Implementation of the Vitro-CAD Document Management System

The Novatsiya project workshop in 2023 introduced the Vitro-CAD document management system, which aimed to create a centralized source of information to improve documentation management processes.

In addition to the main criteria, the Novatsiya OM identified several important factors when selecting the pig:

• Ease of use of the pig;
• communication between departments;
• safety;
• Integration with the software required by the company.

It was also important to ensure the operation of the system at the company's own server capacity and replace the existing Directum EDM program.

The choice fell on Vitro-CAD for the following reasons:

• Vitro-CAD has been on the market for over 10 years. During this time, it has established itself as a reliable solution for design and development companies in Russia.
• Vitro-CAD offers an accurate separation of file and folder permissions, allowing the system to be customized to meet individual customer requirements.
• The system has built-in types of folders (each with its own properties) and templates, which simplifies the documentation process.
• All data on plans, tasks, comments and approvals are concentrated in one place under a single interface, which makes it easier to plan and manage workflows.
• It is possible to work in Windows Explorer, which in turn greatly simplifies training and implementation.

The introduction of Vitro-CAD also allowed Novatsii PM to achieve the following results:

• Improved communication and interaction in the team.
• Integration makes it easier to work with programs such as Autodesk and MS Office, which improves the overall efficiency of the team.
• The system provided a centralized repository for all project documents, making it easier to access and share information.
• Optimization of document retrieval and processing processes has resulted in improved overall efficiency and reduced time.
• Vitro-CAD has improved document versioning to ensure that data is up-to-date. Which, in turn, also speeds up the process of work in general.
• Vitro-CAD provided complete data security in the system.

The Novatsiya project workshop has shared its plans for the further use of Vitro-CAD, the company is considering the transition to a new version of the Vitro MP platform based on Linux. In addition to this, attention is paid to the possibilities of integrating pigs with other software, in particular integration with Tangl, which also automates workflows and increases the efficiency of the team as a whole.
