The system of consolidation of the budget reporting works in "Lukoil Oversiz" since 2007, consolidation of accounting records in a system is conducted since 2008. A system works based on software products of SAP and provides reporting by means of consolidation of financial data more than 70 subsidiary companies of holding.
Quality assurance, efficiency, coordinations of processes of drawing up and the analysis of consolidated budgets of holding and reporting became main objectives of the project.
Projects on implementation of these solutions were implemented by specialists of IBS and when there was a question of maintenance of a system, the choice for benefit of well proved contractor became logical. Initial support of a system was performed by implementation project team forces. For the purpose of quality improvement and efficiency of maintenance in September, 2008 the decision to transfer support to the specialized service division of IBS having necessary examination and technologies for the organization of long-term maintenance with guaranteed quality of services was made. Were a part of the provided services:
- operational elimination of non-staff situations;
- consultation and assistance to users;
- implementation of changes: development, modification, completions;
- monitoring of critical parameters of working capacity and performance of systems and pro-active * elimination of potential problems.
Maintenance is performed on the basis of SLA in which are recorded and all are constantly controlled important for "Lukoil Oversiz" service parameters, such as response time on a request, terms of planned presence of specialists of IBS at office of the client, etc.
It is important also that within the agreement not only services in user support are rendered, but also the actions directed to identification and elimination of possible problems with working capacity and capacity of the SAP servers of holding proactively are implemented. Such approach was offered by specialists of the Service center IBS already in the course of maintenance for the purpose of ensuring more reliable work of all corporate system of management "Lukoil Oversiz".
A system is constructed based on software products of SAP company which are the corporate standard for information systems. In particular, on them the system of consolidation of accounting records is constructed, and the general product platform is designed to facilitate the planned process of integration of both systems.
At the moment, the consolidated budget forms in an information system in the automatic mode on the basis of budget reports of subsidiary companies. Data exchange is performed in the Microsoft Excel format, regulations and standard forms of providing budget data are created. For formation of the closing statement the rules of consolidation developed within the project are used, special algorithms of classification of budget items and an exception of the internal turnovers are applied. A system automatically dispatches the created consolidated budget to subsidiary companies.
A system supports unlimited number of budget models and versions of the consolidated budget. At the moment in it 167 procedural and about 20 analytical reports can be constructed.
Users can obtain necessary information in different analytical cuts and with different extent of detailing. For example, it is possible to analyze as change of structure or accession of the new companies will affect the consolidated results.
According to Anatoly Samiullin, the director of information technology of Lukoil Oversiz Holding, the project allowed to solve two main objectives: provide coordination of process of drawing up and the analysis of consolidated budgets and it is essential to increase quality of the budget reporting. Besides, the information storage implemented within the project should become the base for creation of unified information environment.
The project on creation of a system of consolidation of the budget reporting was executed within one year. In further plans - integration of the systems of consolidation of accounting and budget records which will allow to implement in a system the plan-fact analysis and also development of additional analytical reports and ensuring remote access to a system from regional subsidiary companies for data loading and viewing the reporting.
