Specialists of West Concept Holding completed the large-scale project on creation of an electronic document management system using a technology platform of Microsoft Office SharePoint Server 2010 in Soyuz-Telefonstroy Company. Creation of the information system integrating in a common information space of division of the Central office of the company became a project deliverable.

JSC Soyuz-Telefonstroy - one of market leaders of construction of constructions of communication. Distinctive feature of the company from many enterprises of an industry construction complex – implementation of a full stroke of works from ready objects, design and survey to the organization of delivery, to territorial subdivisions of the Federal Information Technologies Agency. Today JSC Soyuz-Telefonstroy has 7 branches across all Russia, as a part of divisions about 1900 people work.

Key features of project implementation were connected with the distributed filial structure of the company and also with specifics of the industry. It is known that in construction the huge value is given to completeness, accuracy and timeliness of preparation and approval of project and allowing documents, procedures of work with documents are very difficult and labor-consuming and cover completely all production cycle of the enterprise. For this reason the company management made the decision to automate processes of maintaining agreements and archives of documents by implementation of EDMS.

Specialists of West Concept Holding suggested to implement project tasks using the solution Microsoft Office SharePoint Server 2010. The implemented system consists of several modules: Module "Portal", Module "Performing Discipline", Module "Office-work", Module "Tender Contract activities". In a system workflow automation on all divisions of the Company is also provided: Administrative Department, Accounting, Financial Department, IT Department, HR Department and also Production Department.

According to the results of system implementation of electronic document management the following results were achieved: • a common information space between the central office and its branches is created; • the majority of transactions is executed without participation of paper carriers, volumes of manual entry are reduced and duplication of information is most excluded, archiving processes of documents, offices, approvals of contract activities, ORD (orders, requests, instructions) are automated; • the procedure of scanning and automatic loading of the document in certain sections of a system is implemented; • the uniform portal of communications between employees where they can obtain information on the latest news in the company, the new appointed tasks, to load templates of necessary documents, to create work areas of meetings is created, having attached documents, protocols, necessary for work, and to begin work with tasks according to the results of a meeting; • transparent control of performing discipline, with appointment of responsible persons on tasks and documents, tracking of the status of their accomplishment, formation of notifications on open tasks both for the contractor, and for the controller is provided; • secure access to a system and data transmission is provided.

Now cooperation between West Concept and Soyuz-Telefonstroy companies continues regarding service maintenance of the implemented system.
