Implecs Projects (Implex Projects LLC) on April 23, 2024 announced the completion of the project to refine the functionality of the Holding Management and Salary and Personnel Management configurations for the Gulliver group of companies.

As reported, as of April 2024, the customer manages two retail chains. Gulliver is a local network of 100 stores in the Ulyanovsk region. Victory is a federal network of discounters, which includes more than 500 stores as of April 2024.

The task of the project was to collect the budget of the wage fund in order to carry out a plan-actual analysis of costs. As a result, processing was created to split the accrued salary into investment and operating. The PHY budget model has been worked out.

The customer has implemented the "Holding Management" and "Payroll and Human Resources Management" configurations to be able to form a detailed wage budget. However, it is not possible to reflect the fact of the accrued salary in sufficient detail in the functionality of the CU. And in the ZUP it is not possible to maintain a payroll plan for comparison with fact. Therefore it was necessary to develop the budgeting subsystem. Previously, salary planning was carried out in the general budget of income and expenses. It consisted of several lines: wages, contributions, personal income tax, bonuses.

The customer needed to expand these deadlines into a detailed budget for employees, accruals and positions. A separate salary budget is needed to plan wages, analyze the plan-fact and draw up an investment budget for new points of sale.

The customer set the task to collect the budget of the wage fund in order to analyze salaries and carry out a plan-factual analysis of investment and operating costs. Investment costs are expenses before the store opens, including salary. Implecs specialists clarified the functional requirements, wrote the terms of reference and began implementation.

The customer refers to the investment costs of opening stores. While training is underway, employees are paid salaries. They work fully: they accept goods, set up cash registers and communication. It is important for the customer to understand the costs of opening the points and to analyze the ROI.

A mechanism was created that divides the accrued salary into investment and operating. To allocate costs, the engine checks the opening date of the store in the RM. Stores are established as divisions of the organization with detailed details. For calculation from all details, only the start date was important.

The mechanism analyzes the entire accrued salary, takes the opening date of the store and calculates the daily payment. All calculation is carried out in a separate register in the RMP. Entries in this ledger are in a separate document. After that, the synchronization between ZUP and PU was finalized, since salary planning takes place in the "Holding Management." Now all calculated accruals are reflected in the AMR and transferred to the CU, where they are collected in the general salary budget.

In some cases, payroll does not apply to store openings, but to investment budget costs. For such situations, the props "Project" were added to the table part. The program understands that any costs related to the "Project" are investment charges. The opening date of the store is no longer taken into account. During operational activities, projects are not filled. The customer conducts projects only during investment activities. Therefore, all expenses within the "Project" automatically fall into the investment budget.

Sometimes there are situations where an employee is paid in one unit and works for another unit. For budgeting purposes, the "Cost Subdivision" requisite was entered. Thanks to him, UX understands that the accrued salary arises in one unit, but in fact must fall into the costs of another. The implementation of this mechanism was worked out. The customer made the very refinement of the details of the document on his own. The logic of calculating and distributing the fact of accrued wages was finalized by representatives of Implecs Projects.

The terms of reference for setting the PFS budget in the CU subsystem were written:

  • Study the budget structure
  • Determination of the counting formula
  • clarification of what data should be displayed;
  • Clarify which analytics are required by the customer.

The client's employees were trained to work with the budget subsystem in the CU and the customer independently completed the final setting of the budget.

The customer has processing that can divide the accrued salary into investment and operating wages for the budget. It is enough for the user to specify a period in a separate workplace and press one button. After that, the program will collect data on accrued wages, deductions, taxes and contributions for the specified period and post them to a separate ledger. The synchronization between the RAM and the CU will then be performed. Synchronization works on a schedule, but if necessary, you can start it manually. The project with modifications took a month. Two specialists participated on the part of implecs: analyst and developer 1C.

After the implementation of 1C: Holding Management, there was a need for further development of the budgeting subsystem. The specialists of Implex Projects LLC analyzed our needs and finalized the functionality of the system to meet our requirements. Thanks to this, we were able to more accurately plan salaries, compare planned and actual indicators and form investment budgets of new stores.
