2024: Implementation of the system based on "1C: Document Flow CORP "

The construction company Bridges and Tunnels has introduced an automated information system based on the software product 1C: KORP Document Management. In total, 150 automated workplaces were created. The partner of the project was the company "Axioma-Soft," which announced this on June 25, 2024.

Prior to the start of the project, the company's information system did not implement control over the performing discipline, there were no regulations and rules necessary for clear control over the performance of tasks. In addition, there was no system for notifying users about the receipt of new and control of expired tasks, the progress of the process, the approach of the control period and other stages of document management. At the same time, employees had to work with a volumetric flow of incoming and outgoing documentation, as well as with contracts that require many conditions for conclusion. In general, document management processes have not been formalized.

In this regard, the goal of the project was to create an electronic document management system (EDMS) that would reduce the processing time of the documentation, the number of failures and errors when working with it. In addition, the system needed to exercise control over the execution of the document processing process, formalize the processes of working with them, and also distinguish the rights of program users to access data.

For this, the software solution "1C: KORP Document Management" was introduced as an automated system as the most suitable for enterprises with complex document management. The decisive criterion in favor of choosing a software product was the possibility of finalizing its functionality for the industry specifics of the company, as well as methodological support and further support of the software product by Axioma-Soft.

Thus, the implementation of the project took place in several stages. First, the company's current business processes were analyzed, and based on a pre-project study, a technical assignment was prepared with functional requirements for the electronic document management system (EDM). Next, a test base was installed in which process modeling and demonstration of the system to functional customers were carried out. Test operation of the system was also carried out, and based on its results, the necessary IE improvements were completed. In conclusion, the specialists of Axiom-Soft trained the employees of the customer company, and then the EDM system was successfully launched for 150 users in real working conditions.

Thus, thanks to the introduction of EDMS, it was possible to automate the formation and coordination of all existing types of applications in the company - applications for materials, couriers, stationery, tickets, office transport, construction equipment. In addition, the creation of organizational and administrative documentation, memos and agreements was automated. In addition, the implementation made it possible to optimize work with specialized KS-2 and KS-3 documents for the construction industry, as well as documents of M-15, M-19, and M-25 forms. In general, all business processes of the company were automated, which made it possible to increase their transparency, simplify the work of employees with documents, reducing the number of errors and the timing of execution of orders.

The peculiarity of the implementation is that the project was developed taking into account the rather complex specifics of the company's business processes. The project team carefully studied each stage of the workflow, identified the needs for document management and developed a system that best integrates into the existing operations of the company, - commented Anna Gulyaeva, Head of the workflow Department at the Bridges and Tunnels IC.
