Uralkontrakt (ETRAN is the Electronic way bill)

For the best interaction of the company with JSC Russian Railways (further – Russian Railway) the management Uralkontrakt made the decision on use of the ETRAN software product ("The electronic way bill").

Over time growth of production volume and shipment of products by rail led to emergence of new requirements to an enterprise information system. There was a need for automation of process on extraction of the ETRAN system of data on services which were rendered to Russian Railway and also on transfer and correct reflection of these data in information base "1C: Manufacturing Enterprise Management 8".

It was required to automate receiving from "ETRAN" of information on numbers of cars, railway tariffs, primary documents about the rendered services and also input of data retrieveds in an information system. As a result of data entry in a system the relevant accounting and managerial documents had to form automatically.

Project objectives of automation were full control and cost analysis on cars and divisions. It was supposed also, that automated, without participation of personnel, data loading on services of Russian Railway in a system of accounting of the enterprise will provide timely receipt of cost data and will lead to multiple decrease in labor costs of a number of employees.

The project on system development for extraction of data from "ETRAN", their conversion to required formats and also the subsequent broadcasting in 1C: Manufacturing Enterprise Management 8 was charged to INPRO company (1C: Franchisee, 1C: Competence Center on production, Orenburg).

At the first stage of the project specialists INPRO carried out requirement analysis of the customer and specifics of interaction with "ETRAN". As a result of execution of works on the project the information system "Gateway" on the 1C:Enterprise 8 platform was developed. The Sevavtotrans company (Cherepovets) having extensive work experience with information bases "Russian Railway" and also Business-Integrator company (Moscow) regarding problem definition took part in system development jointly with specialists INPRO.

At the moment the Gateway system is put into commercial operation. As a result at the enterprise process of transfer of necessary data which is executed practically without participation of employees is completely debugged and automated. It led to considerable reduction of number of the transactions executed earlier in the manual mode and also to significant decrease in time necessary for comparison and verification of the documents received from Russian Railway.

Features of a system

Today the central office and also dozens of remote production sites of the company keep account in a common information space. Data acquisition is executed of "ETRAN" using the Gateway system automatically, with the set frequency. Documents which are analogs of the relevant documents of Russian Railway, for example laid on, accumulative sheets, requests and also ancillary data and other information are stored in a system.

Using the system interface the employee can execute document retrieval for a certain period and create on their basis in 1C: Manufacturing Enterprise Management 8 documents for receipt of services and also invoices.

Accounting of the rendered services is implemented by divisions which are their receivers. At the same time determination of division is executed by number of the car or proceeding from other data of the accumulative sheet.

Besides, the Gateway system allows employees to create documents on the services rendered to Russian Railway before the actual obtaining invoices of department of the railroad. This opportunity is demanded for preliminary planning and the analysis of results of work in management accounting and also for cost accounting in accounting.

Results of automation

Now the information system Uralkontrakt is completely integrated with "ETRAN". Formation of way bills, the documents "Goods and Service Receipt" and "Invoice Received" is executed. At the same time participation of employees in loading processes, conversions and unloadings of data on services of Russian Railway in the solution "1C: Manufacturing Enterprise Management 8" is minimized.

The developed solution allowed to exclude transactions which were executed earlier manually, connected with search and comparison of own data with data of Russian Railway and also operation on input of the documents received from Russian Railway.

A system also provides reflection of operations on the services received from Russian Railway by cost items and divisions.
