Kompasplus: Registry of sanatorium

Kompasplus company (1C: Franchisee, Pyatigorsk) developed for automation of reservation departments and accommodation of vacationers on the 1C:Enterprise 8 platform the application solution "Kompasplus: Registry of sanatorium". When developing the software product the experience got at automation more than 20 sanatoria of Caucasus Mineralnye Vody region was analyzed and considered.

The solution allows to automate accounting of the number of rooms, the procedure of advance booking, including group with arrival according to the diagram and also resettlement of vacationers. Considerably the services allowing to gain graphical representation of employment of the number of rooms and also to execute automatic selection of numbers facilitate work with the program. Let's consider some possibilities of the application solution in more detail.

Automation of marketing department

As marketing department room reservation and formation of invoices for payment for individuals, commercial and budget organizations, travel companies and also dealers-distributors of permits enter. Besides, marketing department makes diagrams of arrival of vacationers and controls employment of the number of rooms in order to avoid an overload.

Room reservation is executed using the document "Request for a Reservation" in which terms of arrival and category of the selected service, for example the single or double room, etc. are defined. The information about the customer and vacationers is also specified in the document, the category of the customer – Budget, Self-financing, Dealer and other data is fixed.

For optimization of work of the specialist of the marketing department the Chart of Employment of Numbers form in which employment of all numbers on days in the selected period by the body, floors and categories is graphically displayed is used. Besides, the mechanism of group armoring provided in the document "Diagram" and also automatic selection of numbers allows to accelerate work. At automatic selection of numbers such parameters as arrival term, category of service, gender and age of the vacationer, existence or lack of consent of the vacationer to share a room are considered. In the course of automatic selection a system allows to minimize the number of rooms which remain free between arrivals.

In a system the mechanism for automatic removal of "expired" armor on which arrival did not take place for the set date is implemented. At the same time removal of armor is executed by rules which are defined in settings for each category of customers.

The document "Account" is intended for formation of invoices for payment. The program provides creation both accounts on the basis of the document of armoring, and the document of armoring on the basis of the account. Reflection in the system of the planned employment of the number of rooms for other purposes, for example for repair, accommodation of the sent employees, is executed using the document "Other Employment of Numbers".

The universal report on the reserved rooms created using the flexible system of configuration of data of the 1C:Enterprise 8 platform allows to obtain information on the existing reservation in various cuts.

Automation of registry

The fact of arrival of the vacationer in sanatorium is fixed in a system by means of the document "Registration of the Vacationer" in which dates of planned and actual arrival and also expected departure, category of service, the information about the payer and the vacationer are specified. In case of arrival on a reservation the document "Registration of the Vacationer" can be created on the basis of the document "Request for a Reservation".

Use of the general mechanisms on accounting of the number of rooms allows to control employment of numbers and to occupy the vacationer directly in the reserved room. The situation in which the vacationer is occupied in room which is reserved for other client is possible. In this case a system provides search of similar number among free and transfer of reservation of the client for the found number.

The possibility of accounting of hotel services, including hourly accommodation and also food services – Breakfast, Lunch, Dinner and Additional VIP-power Supply is provided in the application solution.

For change of term or conditions of accommodation the document "Statement" which allows to issue such transactions as resettlement, prolongation of the permit, early departure, temporary absence and recovery of accommodation after absence is used. Calculation of the amounts of surcharge or return in the document is executed automatically. Correct reflection of situations in which the permit is paid by the organization is provided, and surcharge is performed by the vacationer. The program allows to make out and receiving payment for the permit from several payers.

Using the universal report "The list of vacationers" it is possible to obtain information on vacationers who came around, left or lived in the specified period in different cuts. The report can be created, for example, in the form of the normal magazine of registration of vacationers or the sheet of arrivals on partners. It is also possible to receive the list of children of vacationers, birthday boys, summary reports on regions or the social statuses, etc. Information on the movement of vacationers on days in the specified month and also about the spent koyko-days is provided in reports "Report and movements" and Sheet.

Accounting of rendering of services

"The summary report on rendering of services" is applied to obtaining data on the implemented services in amount-based expression. Let's notice that rather often dates of arrival and departure of the vacationer according to the permit get to the different tax periods. At the same time when accounting services it is necessary to proceed from the number of the koyko-days which are actually provided to the vacationer in this period. It means that a part of koyko-days on the "passing" permit will belong to one period, and other part of days – to the subsequent. In "The summary report on rendering of services" separation of the "passing" permits on the periods is provided, calculation of koyko-days which were actually implemented in every period is conducted. The report also is universal and forms in many cuts.

The unloading of data provided in the program in the application solution "1C: Enterprise Accounting 8" allows to reflect the actual rendering of services in accounting and also to write off the used forms of the strict accounting.
