On December 27, 2024, Lindaily announced the automation of the financial planning and budgeting system. The project was implemented on the Optimacros platform. The work was carried out by the specialists of ATOMS Consulting with the participation of Lindaily employees.

As reported, Lindaily provides rental and maintenance services for overalls and lobby carpets. The company has 10 offices, 11 service centers in the regions of Russia, more than 600 employees and 40,000 b2b clients. Until recently, Lindaily was part of the Finnish holding. Initially, having received the status of a separate legal entity, the company used domestic software to automate the financial model, which is widely used for financial accounting tasks. However, work on such software for planning tasks demonstrated its disadvantages: lack of flexibility, speed of recalculations, modeling "what if" and the possibility of customization to the needs of the customer. As a result, Lindaily decided to change the software product.

We wanted not only to restore the methodology that had already worked before the division, but also to introduce additional dashboards, reports, indicators, metrics, to change the approach to budgeting using driver analysis. As a result of the tender, preference was given to the Optimacros platform. The key arguments in favor of this choice were the compliance with the main requirements for supporting a flexible planning process, an intuitive interface and the ability to modify the business needs of the customer's specialists. The creation of the financial planning and budgeting system took 4 months. Within the framework of the project, a financial model was built, plans and forecasts for revenue and costs were formed, PnL was built for the company, and actual data were generated from 1C accounting.

The trick of the project was the work on its implementation online. During the meetings, we created a financial model, adjusted and adjusted its logic. Moreover, the work was carried out by both our specialists and colleagues from Lindaily, which formed a competence center on its side, training several specialists to work with the platform. As of December 2024, about 70 users work in the system. It accumulates data for 3 years, from 2023 to 2025 in the context of more than 200 cost centers and data on revenue for the same period for about 300 cost items. Planning is carried out in the context of coast centers (Central Federal District), cost items and income items. In parallel, 6 planned budget versions are formed in the model.

Based on the data obtained, the system generates two reports: a cost report and a function report.

The first report represents all costs in the context of items and central federal district. The user in a convenient format sees cost items in the "fact + forecast" format for any number of months, as well as data from the last 2023. The system calculates and provides variance data in percentages and amounts. The report is generated monthly.

The function report also reflects costs, not by their type, but by their center of origin, such as production, materials, service, sales, etc.

The company has implemented a two-stage distribution: the system takes into account alloyed expenses and direct expenses within each business unit. The structure of the business is such that all central functions are finance service, HR, accounting, marketing - located in St. Petersburg. They provide services to all business units located in 7 regions of Russia. These costs are distributed in proportion to revenue and services to all business units. In addition, there are central federal districts that belong to several services at the same time. The costs are transferred accordingly. Thus, you can evaluate the profitability not only in general of each business unit, but also of each service, as well as the cost of the company's services.

Users note the convenience of working in Optimacros. The system interface has a lot in common with the already familiar Excel, so employees quickly adapted to this product. In addition, it is necessary to note its performance: data entry and update of reports takes place almost online, information is available at any time. The company plans to develop the project. For 2025, the task is to automate the cash flow statement (DDS) and calculate revenue. A lot of work needs to be done to automate the production function: you need to create a large number of analytical reports on energy consumption, production efficiency, expenses on chemicals , etc. The issue of automation sales and, logistics the pricing unit for revenue planning and a number of other tasks are also considered.
