Before the implementation of RPA, the process of processing letters of guarantee was labor-intensive. Workers extracted letters from corporate mail and then manually entered data into the medical information system. Depending on seasonality, the amount of incoming correspondence ranged from 50 to 200 letters per day, and the time spent processing each letter was about 3 minutes.

A separate employee was allocated for this routine task, but letters of guarantee come from the consoles of dispatching insurance companies 24/7, and one person cannot work in this mode. Because of this, conflicts sometimes broke out in the registry when the patient came to the appointment, and there was no guarantee letter from the insurance company confirming the approval in his card.

The management of "Clinics SMT" decided to automate the process in order to increase its efficiency, free employees from routine tasks, as well as completely remove the reason for a conflict situation in the registry. For the implementation of the project, the company turned to the St. Petersburg office of the IT integrator "First Bit."

Relative difficulties were at the stage of choosing a platform for software robotization. The integrator company team prepared a comparative analysis of PIX RPA, Sherpa RPA, Robin RPA and Primo RPA products. Project phases included survey (21 days), development (4 days) and pilot operation (7 days). Due to the effective examination, there were no difficulties at the implementation stage.

As a result of the introduction of software robots, the time for attaching a letter of guarantee to a patient's card was reduced to 20 seconds.
