2025: Document Management System Upgrade
Korus Consulting Group, together with BFT-Holding, has modernized the document management system on the basis of the Avandok platform at Immanuel Kant Baltic Federal University. Korus Consulting announced this on February 5, 2025. About 600 users are actively working in the system.
In order to increase the efficiency of automated document management and ensure the full life cycle of documents in electronic format, BFU named after I. Kanta decided to switch from an outdated electronic document management system (EDMS) to a modern, flexible-configurable and easy-to-use solution.
The main objectives of the project were the development of a document management system for correspondence, internal documentation, contractual and organizational and administrative documents, as well as the creation of integration mechanisms with existing information systems, simplification of document processing processes and the organization of comprehensive administration.
The Avandok platform was chosen as the technological basis of the EDMS - the own development of KORUS Consulting Group of Companies. This is a modern no- and low-code platform for creating enterprise content management products and solving related problems in various business sectors. The ecosystem of products implemented on the basis of the platform operates in a single information space and combines a range of solutions: "Documents," "Repository," "Tracker," "Disk," Service desk, CRM.
The solution allows you to flexibly configure the processes for automating document flow and archiving documents, as well as design new business processes and fine-tune existing ones yourself using the designer without involving developers. Significant attention is also paid to the possibility of integration with various information systems for centralized document management in an extensive system of divisions, as well as the possibility of working in high-load conditions, which is important for the effective functioning of the university.
In the course of the project implementation, the specialists of KORUS Consulting Group, together with the BFT-Holding team, carried out preparatory work, including an analysis of existing processes, development of a solution concept and training of employees. This made it possible to ensure a smooth transition to the platform, minimizing duplication of processes and increasing the efficiency of team collaboration.
The university is a living, developing body, business processes in which often have to be adjusted. The implemented solution allows us to fine-tune existing and create new document flows on our own, without involving developers. In addition, the system employs about 600 users actively engaged in administrative processes, geographically distributed throughout the city in more than ten buildings. In the future, we plan to implement integration with other existing systems to build a single information space and increase the efficiency of document flow management, "said Yakov Bruch, head of the affairs department of the Immanuel Kant Baltic Federal University. |
{{quote 'The Avandok platform implementation project in BFU named after I. Kant has become an important milestone in the digital transformation of the university, since thanks to the functionality of the system, the university will significantly speed up the processes of processing and coordination of documents. The platform allows not only to automate routine tasks, but also to provide a unified information space for managing documents and corporate content, which is especially important in the context of modern education and scientific activity, - said Pavel Perov, Product Director of Avandok, KORUS Consulting Group of Companies. }}
