Sibur, together with GlowByte, accelerated the process of concluding supply contracts using Process Mining technology

2025: Application of Process Mining Technology

SIBUR, together with GlowByte, implemented a project to speed up the process of concluding supply contracts using Process Mining technology. The main goal of the work was to increase the speed of coordination of supply contracts by identifying the fastest scenario for coordination and using its "principles" (routing criteria) in other cases. This approach made it possible to reduce the approval period by 30% in terms of scenarios. This was announced by representatives of GlowByte on March 21, 2025.

The expert group conducted a detailed analysis of all existing coordination scenarios, paying special attention to the specifics of work in different countries, which was due to differences in legislation and established business practices.

As a result, a complete list of factors affecting the deadlines for each stage was formed. Thanks to Process Mining, it was possible to track each step of the process in detail, identify hidden dependencies and causes of delays.

The joint work of specialists led to the refactoring of the process. We considered the possibility of abandoning some stages, their automation, as well as more effective integration of existing information systems - SAP, CRM and ESM CIS (system for agreement of contracts). The use of Process Mining helped to identify non-obvious points of contact between these systems and significantly improve the interaction and synchronization of processes.

In addition, Process Mining provided a tool to objectively assess the speed and quality of tasks performed by each participant in the process, which allowed the development of specific measures to improve the performing discipline.

During the project, experts also identified atypical scenarios that were due to manual updating of the routing matrix, for example, adding a matrix of discounts on by-products, adding an employee's timlid to the list of negotiators for the transaction. Process Mining made it possible to quickly identify such exceptions and prevent their recurrence in the future.

The project demonstrated the high efficiency of using Process Mining to optimize complex business processes.

Process Mining performed a detailed visualization and analysis of all existing scenarios. Unlike traditional methods, Process Mining allowed you to see the real state of the process in dynamics and identify bottlenecks that used to go unnoticed. This approach made it possible to purposefully improve the process without the need for lengthy and labor-intensive research. In the future, it is planned to expand the use of this technology in order not only to analyze, but also to quickly monitor processes to increase their effectiveness,
