Content

2024: Flexible accounting of partial deliveries for accurate shipments to Selta LLC

The company sells metal-cutting tools in Russia and the CIS.

The customer works on the 1C configurations "Trade Management" in version 11.5 and "Enterprise Accounting," synchronized with each other.

Task

Develop a way to exclude goods from the balances that have not yet arrived from the supplier, while maintaining the current business processes of the company.

Decision

In order to keep the current business processes unchanged, they proposed to implement the "Goods on the Way" mechanism in the document for the purchase of goods and services. The essence of the mechanism: in the invoice you can tick the positions that have not yet been received. These items will not be reflected in the balances, which will solve the problem with shipments and eliminate errors. Items with a tick cannot be sent to the client.

The scheme of operation of the new mechanism "Goods on the way":

  • The customer orders 10 items → creates an order for the vendor for 10 items.
  • The supplier brings 5 units → 5 items are marked on the invoice as "on the way."
  • The system takes into account only 5 units received; Marked items are not available for shipment.
  • 5 units are shipped to the customer, which corresponds to the actual availability.

The customer agreed with the proposed solution, began to refine. We made a report showing the goods on the way. We have finalized 2 standard reports and the workplace "Order Security Status," which take into account the balances with a tick. The customer has an online store. To correctly display the balances on the site, the data upload was finalized with the exception of goods on the way. Now only actually available products are shown in the store.

Result

Shipping errors due to discrepancies between documents and actual availability disappeared, relations with customers improved due to the accuracy of deliveries.

For their part, they maintained the stable operation of synchronization between the Trade Management and the Accounting Department and integrated the new mechanism into the current business processes of Selta LLC without violating them.

The project was implemented on November 1-20, 2024.
