Content

Administration of the Kopeisk city district implements electronic document management with the help EDMS "CASE".

Task

In the conditions of constantly growing volume of documents, use of electronic technologies of document flow is necessary for any authority. In Administrations of the Kopeisk city district preparatory work on implementation of a modern electronic document management system were begun in 2009. The main set of tasks for automation was rather traditional – document registration, issue of instructions and control of their execution and also preparation of the analytical reports allowing to keep track of performing discipline, statistics on document types, etc. As the platform for creation of an electronic document management system it was selected EDMS "CASE".

Implementation

Works are carried out according to the scenario, standard for such cases, – inspection of the developed rules of document flow and their optimization, system implementation and its setup according to the received results, user training and, to an effect, rendering necessary consulting services. In this case training of employees was made directly in their workplaces that allowed specialists to switch gradually to an electronic document management system minimum loss of working time.

Results

Since 2010 a system is operated in an operating mode. According to employees, at the expense of system implementation duplication of documents considerably decreased, search of necessary data is facilitated, the movement of paper documents due to issue of instructions in electronic form was significantly reduced. Specialists of administration had an opportunity to work with documents far off via the Internet (using the option "DELO-WEB"), and the management received the convenient tool for analytical work – in addition to a standard set of reports, 20 additional report forms for the analysis of different aspects of work with documents were created.

Objectives

Further implementation of additional jobs of a system and involvement in electronic document management of all key staff of administration is planned.
