In the Department of the Federal Service for Supervision of Natural Resources for the Northwestern Federal District the stage of system implementation of electronic document management was completed. A new system allowed to automate work of department of office-work in the conditions of the loading which increased on it. The Lank Sistems company acted as the contractor of the project.

In 2009 on department of office-work of the Department of the Federal Service for Supervision of Natural Resources for the Northwestern Federal District serious loading on processing and routing of a big flow of documents laid down. Consolidation of three structures — Department of Rosprirodnadzor across the Northwestern Federal District and two Managements of Rosprirodnadzor — across St. Petersburg and the Leningrad Region was the reason for that. The management of the joint Department made the decision on system implementation of electronic document management (EDMS) for automation of work of department of office-work.

A choice of EDMS was made for benefit of the solution which is successfully implemented in Central office of Rosprirodnadzor in Moscow — BOSS-Referent of version 3. Implementation of EDMS allowed to optimize process of document registration and to reduce routine transactions of employees of department of office-work due to decrease in number of copies of documents and transition for printing of envelopes directly from an electronic document management system.

In the course of approbation of a system the management of Department saw need of personal work for an electronic document management system regarding imposing of resolutions. Work in a system allowed the management of Department to increase visualization of execution of instructions. As a result 10 jobs for employees of office and administration were automated.

Now the stage of system implementation is completed, there is a gradual accumulation of the used functionality, completion of reports on performing discipline, connection of new employees to work in a system. "Further increase in quantity of jobs of EDMS for all employees involved in document flow of Department and also the organization of stream scanning based on the existing equipment is planned" — the deputy chief of Department Avdiyenko Oksana Vasilyevna reports.
