In 2010 specialists ASCON-Samara began to implement the DIRECTUM system here. The main task was to organize data storage in the unified information system and by that to reduce time of their search and approval, but also, to exclude information leak.
"The staff of the company should work with a large number of documents, besides, the range of tasks constantly extends therefore, implementation of electronic document management was vital", – Irina Vadimovna Murzina, the chief of OIT PTS Ltd considers.
Application of the DIRECTUM system allowed to reduce considerably operating time with documents. "Now from the moment of receipt of the document on the enterprise before transfer it in work to the final contractor there passes no more than an hour. It is especially relevant during the work with requests of different authorities where the term of issue of the answer is tightly regulated legislatively", – the head of legal department of PTS Ltd Alexander Vladimirovich Grechanin comments.
By the way, especially for legal department of PTS company the system allowing to coordinate all work on business management in different authorities, in particular, courts of all instances, prosecutor's office, the tax inspection, supervisory authorities, etc. was developed. Earlier this work occupied a considerable part of time of staff of department. Now it became simpler to work. "As a result of development implementation ASCON-Samara, - continues Alexander Vladimirovich Grechanin, – we received a harmonious system thanks to what I as the head of legal department, I can get an information access on any of the affairs which are conducted or being in production in our division, including all results of meetings of courts, dates of the next listenings, all documents connected with any process".
Now a half of services of PTS company passed to work with electronic document management. Registration procedure of documents is automated, procedures of work with papers, standard for the enterprise, are entered, document templates are created. Besides, systems capabilities were expanded thanks to implementation of the module of use of file storages that allowed to optimize loading of server resources and work with documents of large volume.
One more important addition – the electronic DIRECTUM system organically fitted into "paper" office-work.
The secretary of PTS Ltd Olga Fiodorovna Pozhidayeva says: "We could join gradually in process of electronic processing and document storage so transition to a new form of work turned out painless".
To that, the ASCON-Samara company organized training of employees in use of a new system almost on the job. So all the time the enterprise continued to work in the mode, normal for it, continuing to remain competitive in the market of housing and communal services.
