2025: Implementation of the Contract System
RusClimat has implemented an artificial intelligence-based contract automated contract verification system developed by technology partner Embedika. The decision made it possible to speed up the process of legal examination of documents by almost half, reduce the burden on the legal department and ensure control over data in accordance with information security requirements. Embedika announced this on August 12, 2025.
The volume of work of the legal department of RusClimat has grown significantly in recent years. With a team of 15 lawyers, manual processing of all documents became more and more laborious: the risks of missing important details increased, delays in coordination appeared, especially between departments in different time zones. On average, checking one contract took 75 minutes.
As noted in the company, traditional solutions - expanding the staff or outsourcing - were considered too difficult due to increasing financial and time costs, and the involvement of external lawyers did not solve the problem of low processing speed. To ensure further growth and prevent a decrease in the effectiveness of the legal department, the company decided to automate contract verification and opted for Embedika's Contract AI solution. The system proved to be the right option for RusClimat due to the ability to quickly analyze documents, accurately identify risks, add recommendations in accordance with company requirements and the possibility of obtaining a ready-made protocol of disagreement. This significantly speeds up the verification of contracts and increases the efficiency of coordination. The key requirements were independence from foreign suppliers, security, ease of integration with existing systems and the ability to adapt to internal processes.
The system was adapted for key supply contracts, which made it possible to take into account the specifics of the company's business as accurately as possible. Within the framework of the project, a library of 32 risk types was formed, according to which the system analyzes documents. In addition, it was possible to edit general risk recommendations, as well as add and change recommendations for their individual components. In total, two cycles of model refinement were completed, which significantly increased the accuracy of the algorithms for checking the contract for risks.
The integration of the system ensured transparency of the process: all comments are documented, and the results of the audit are available to both the legal department and business units. This approach allows you to unify expertise, reduce the number of errors and speed up the coordination of transactions. It is important that Contract is fully developed and supported by the Russian team. All solution components, including infrastructure, are located in Russia and meet local data processing and storage requirements.
The integration of Contract into business processes took about a year. The first results became available 6 months after the start of the project: during this time, the solution was configured for the tasks of the company and trained lawyers to work with the system. To check documents, employees used a test loop available only from the company's internal network. The use of a domestic solution also ensured full control over the data and the possibility of operational refinement of the functionality. The integration of Contract was not only a step towards optimizing the work of the legal department, but also part of the development of the company's internal IT competencies.
