"First Bit" automated the accounting of vehicles and special equipment for the construction company "Volgtransstroy." This "First Bit" reported on October 3, 2025.

Prior to the introduction of the solution for the formation of waybills, Volgtransstroy LLC used the 1C: Motor Vehicle Management software product, which was not integrated into a single accounting system, which caused inconvenience and slowed down work processes. For example, employees spent a lot of working time daily on entering information on equipment refueling.

In connection with the new tasks, the management decided to introduce the Mechanization and Motor Transport module based on 1C into operation, which will optimize the processes of planning, accounting for fuel and lubricants and repairing equipment, as well as reduce the processing time for equipment refueling from one working day to several minutes.

To fulfill the tasks of implementing this solution, an integrator was chosen who has extensive experience in automation, has expert opinion and professional specialists - the First Bit company.

Data on fuels and lubricants were transferred to the accounting department on the basis of paper waybills, the accounting department manually entered data for writing off fuel and lubricants. There was no tool for comparing the standard value of the flow rate with the actual one, it is difficult to distribute the flow rate of fuel and lubricants on an individual basis. The planning of repairs and maintenance of equipment and transport was carried out on paper, plans for the use of equipment in construction were manually filled out, "said Elena Nasibulina, Deputy Director for Finance of Volgransstroy LLC.

The key task of the project for the IT integrator team was the complete transfer of the construction company to a single information system, taking into account construction specifics, based on the software product "BIT. Construction" and "1C: Accounting," as well as combining tasks for accounting for equipment and transport with already implemented blocks of the program.

To implement the project, during the survey, the main business processes of the customer, problems were identified and the necessary requirements for the future system were collected. To determine whether the standard functionality of the Mechanization and Motor Vehicles module is enough, modeling was carried out on accounting units in the transport department. A chain has been built from the application for equipment to the write-off of fuel and lubricants for the cost of the construction object. They also set up the synchronization of documents of the Mechanization and Motor Transport unit with the Supply and Warehouse unit and accounting in BIT. CONSTRUCTION and 1C: Accounting, - said the project manager of the integrator of effective IT solutions First Bit, Voronezh Central Office, Mikhail Dziuba.

As part of the project, the specialists of the IT integrator automated the areas: planning the repair, maintenance and operation of technicians, accounting for fuel and lubricants and reflecting track sheets. Specialists have implemented an automatic loading solution data for gas stations, which excluded manual labor when entering information into the account system. The time for processing data on gas stations was reduced from one working day to several minutes.

In addition, functionality was developed that allows the construction company to calculate the profitability of its own fleet. From the travel list, the cost of equipment work is transferred to the management accounting program on the basis of "BIT.FINANS" - a solution operating on the basis of "1C: Accounting." This makes it possible to assess the profitability of the division when using equipment at the company's construction facilities.

Scheduling the load of equipment is now convenient to track using the created workplace of the head of the department. One specialist can plan the operation of equipment at all facilities, for all applications at a time, which reduces the time for processing applications by more than half.

The IT integrator team has developed two application scenarios: for special equipment and cargo transportation. An automated work center "Equipment Order Planning" has been created to plan the load taking into account the requisitions. With its help, the head of the logistics department can distribute requests between his own equipment, prepare a movement plan for drivers, and analyze the workload of equipment and employees. The transition of Volgtransstroy LLC to a single information system, taking into account construction specifics, based on the software product BIT.STROZHENIE and 1C: Accounting increased the visibility and informativeness of the data, halved the labor costs of accounting for equipment and transport, and optimized the work of employees.
