Project:

System implementation of DIRECTUM in JSC Melkombinat company

Project Objective:

quality improvement of management of the organization and process optimization of document flow.

The used solutions and services:

Features of implementation:

• the complex structure of the organization including subsidiary companies and branches;
• routes of approval and processes of control of execution of documents were modified and added.

Project Results:

• reduction of terms of preparation and approval of documents;
• ensuring the centralized document storage and convenience of search;
• increase in level of transparency of processes of document flow;
• increase in the interoperability layer and efficiency of activity of personnel.

Project History

The Director of the department of IT of Consolidated Food Company Ltd, Management company Agrarian Union Group, Mokhov of A.V. tells: - The management of our company during the long period studied all electronic document management systems which are available in the market. As a result a choice was made for benefit of the DURECTUM system. The service agreement was signed with TANAIS company, the having wide practical experience. The main objectives of the project were automation of the most foreground processes of the company:

• Registration of the entering, outgoing correspondence, execution of orders of the President of Management company and the CEO of JSC Melkombinat;
• Work with the organizational and administrative documentation created in management company and distributed on affiliated enterprises;
• Approval of memos of appointment of contractors;
• All stages of a contracted work, beginning from preparation of the project, approval and a statement before control of execution of stages of the agreement.

Considering that structure of the organization the complex, including subsidiary companies and branches, routes of approval and processes of control of execution of documents were modified and added by specialists of TANAIS company. The remote organizations at approval of white papers actively use OverDoc.

During project implementation in Training center of TANAIS company was trained the working group which actively participated in implementation process. Seminars for the top management, heads of departments and leading experts of Management company and JSC Melkombinat were held.

According to the results of the project:

• All outgoing and organizational and administrative documents undergo approval of the help of standard routes and are registered in magazines of the DIRECTUM system.
• Orders of the President of Management company and the CEO of JSC Melkombinat are issued to contractors in electronic form and controlled by the top management which actively works in a system.
• In workplaces of clerks and the managements are set the barcoding scanners facilitating processes of search of electronic documents in a system according to their paper originals for registration and signing.
