Content

2020: Implementation of CRM for Distribution Network for Vitrulan

Problem

The company wanted to automate the auto-completion of applications from customers, minimize the routine work of managers at the beginning of the transaction.

Decision

RDN Group specialists conducted an analysis of the company's business processes and, based on the requirement from the customer's company, drew up a TA for work.

As a result, it was decided to introduce Bitrix24. Boxed version - archive tariff 1C:CRM-s24: CRM.

Functionality

Dealer Form

A custom form has been developed for Vitrulan, which is sent through contacts. Work is underway with approximately 40-50 distributors. By filling out all the fields on the form, dealers could leave a job application. In the form, the dealer indicates the necessary information about the company and leaves his contact information.

This purchase requisition was then displayed in the CRM system. A deal is being created in Bitrix24.

Transaction

The Transaction tab has been customized based on company requests. The Transaction History tab has been set up. It has been expanded to show any change to the transaction. Each change is assigned its own ID and shows which of the employees made the changes (views, field changes, export).

The field "Dealer" is filled in automatically. It is pulled up from a custom form.

Transactions are set up by the list. They have 2 stages.

Contact card

The contact card displays the dealer's login and password, the data is entered into the system automatically. They can only be edited by an employee with administrator rights.

Observers

When creating a transaction, employees are placed in the "Observers" column based on their structure and employment. This information is filled in automatically based on the script.

Employees have a task as part of a specific transaction.

Leads

When a new lead appears, the system automatically determines which of the employees will be responsible for working with it.

Notices

Employees in Bitrix24 receive a notification that a new application has been received from a dealer, which needs to be hired.

The employee is notified to the work mail and the "bell" on the platform that he has been appointed an observer as part of a specific transaction.

The dealer receives a letter in the mail containing information about who is appointed responsible for his application and contact details of the manager.

Integration

The customer and vendor card displays their contact information and includes the customer's address. Integration with Google Maps was carried out.

As a result, we got that employees can see in real time the "geography" of customers by opening their Google Map. RDN Group specialists have customized the "Region" section. Only customers and suppliers within a 5 km radius are displayed.

Results

After the introduction of Bitrix24, Vitrulan was able to work with an automated lead system, with the identification of those responsible for each transaction. The efficiency of employees has increased, as it was possible to get rid of the routine tasks of filling out information about the client.
