The IIB of Investment starts automation of work with finance documents using the eDocLib platform

During operating time in IIB-INVESTITsII LLC the huge archive of financial documentation – different agreements, bills of exchange, statements, reports, etc. in paper form collected. For optimization of data access the decision on creation of electronic archive was made. Key requirements to an archive system: short terms of translation of the existing documents in an electronic form, a simple and effective algorithm of loading of again arriving documents in a system, ease of use of a system for end users, the minimum terms of input of the solution in commercial operation.

After carrying out the analysis of the existing systems the choice was stopped on the complete solution for storage and digitization constructed on the eDocLib platform and using ABBYY FlexiCapture technology. System implementation ensured safety of data, quick search of necessary information, and its display in the most convenient type for different user groups. Use of ABBYY FlexiCapture allowed to accelerate considerably loading process in electronic archive of the saved-up paper documentation and processing of again arriving documents, including automatic filling of registration forms of documents using information taken from documents.

Project works were begun in MIB-Investitsii LLC in April, 2011. Initial installation process of a system and user training took less than two days. By this moment a considerable part of archive is transferred by own forces of staff of IIB-INVESTITsII LLC to an electronic form. Access time is significantly reduced, and evident submissions of archive information necessary for the employees are created. It is possible to refer essential differences in structure to features of the project identical on a document type (for example, agreements), the works of IIB-INVESTITsII LLC caused by specifics. At the same time processing of the same documents of different structure became possible thanks to the solution ABBYY FlexiCapture. According to the results of operation the decision on expansion of scales of use of a system is made. At a new stage of the project new jobs of a system in different structural divisions of the company will be organized, additional user licenses for this purpose purchased. Also development of the ABBYY FlexiCapture templates for information extraction from different types of documents for phased transition to completely electronic archive will be continued.
