The Vakhtangov Theatre implements a management system for salary and the personnel

The 1C: Accounting and Trade company (BIT) completed system implementation "1C: Payroll and a budget institution staff 8" in the State academic theater of Evgeny Vakhtangov.

Objectives

In theater more than 600 employees who need to calculate salary taking into account specifics of budget organization and also a large number of allowances and payments work. Earlier personnel records in theater were kept in spreadsheets that became more and more labor-consuming, and with support of the program used for payroll calculation there were difficulties. The management of theater made the decision to pass to the "1C: Payroll and budget institution staff 8" system which has necessary functionality for the solution of all tasks of settlement and personnel departments of university and also allows to organize their work in the unified information system.

Solution

Specialists of BIT performed tuning programs, data transfer in a new system, provided user training. At the same time completions of the "1C: Payroll and budget institution staff 8" program were not required.

The project is executed within one and a half months.

Nuances

Feature of accounting of theater is a large number of agreements with freelance employees. For example, when setting a performance it is required to consider payments under the author's agreement which are made during certain time. The program allowed to automate control of terms of payments under agreements and to provide their observance.

Result

In a project deliverable payroll calculation taking into account a set of allowances and different working schedules is automated, personnel and settlement departments work in a single system that excluded duplication of data. Time spent for operations on personnel records was several times reduced, necessary information on employees can be obtained in a few minutes.

According to the results of the project:

• personnel and settlement departments work in a single system that excluded need of repeated data entry of personnel documents;

• flexible differentiation of user rights allows to make available to the employee only that information which is required for his work;

• setup of any calculation formulas, means of mass calculation and salary accrual and also input validation helped to accelerate twice payroll calculation and to reduce number of the user errors to a minimum. Salary is calculated only two specialists now.

Kirill Igorevich Croc, the associate director on financial questions of Theatre of Evgeny Vakhtangov: "The automated system based on the "1C: Payroll and budget institution staff 8" program allowed to provide timely calculation and salary payment according to requirements of the legislation. It would be desirable to note flexibility of a system which allowed to implement all settlement schemes of the salary of employees of theater without any completions".
