Today many enterprises use automated systems for the organization of access control, conducting the personnel records and time management which is actually worked employees. The listed tasks are in an area of responsibility of different divisions and, at first sight, are almost not connected among themselves. The security service is responsible for security of an object, access isolation, the organization of access control, control of bringing/carrying out of material values. Personnel department is engaged in registration of personnel and control of labor discipline. Functions of payroll taking into account time which was actually worked by the staff of the enterprise are assigned to accounting.

At the same time more detailed consideration of the specified tasks allows to detect interrelation between them. So, all listed divisions use the same list of employees. For differentiation of access rights of employees to different premises the security service can use working schedules of employees and information on their belonging to certain divisions which are provided by personnel department. Accounting can make correction of time which is actually worked employees on the basis of data on their movements which were provided by a security service.

Standard approach at initial automation is installation at the enterprise of a control and management system for access (SKD) with own software which is used for solving of tasks of a security service. The specialized systems "1C: Payroll and HR Management 8" or "1C: Manufacturing Enterprise Management 8" are applied to automation of personnel records and payroll. At the same time information systems among themselves are not connected in any way. Data between divisions are transferred on paper carriers or in the form of separate files which require processing manually. Sooner or later the enterprise faces inefficiency of such approach, and the need for integration of the existing systems becomes clear to the management.

One of possible options of integration of information systems is the organization of data exchange between them. Existence of exchange allows to transfer lists of employees, divisions and positions from information base, for example from the "1C: Payroll and HR Management 8" program to the SKD system. Time which is required for input in the SKD program of necessary data is as a result reduced, the possibility of emergence of errors at information input disappears.

At the same time, as practice showed, information on the employee is usually transferred to SKD at employment. Transfer of the employee to other division and also change of its working schedule are reflected in the SKD program using adjustment which is executed, as a rule, manually. Besides, SKD does not allow to obtain information on employees who are in a business trip or are ill: these employees will be considered only being absent from work. In the majority of the SKD programs there is also no support of floating working schedules, an opportunity to repeatedly change the working schedule of the employee during the reporting period is not provided.

The listed factors do not allow to time correctly in the SKD program, actually worked the employee. According to SKD it is possible to obtain information only on the actual presence of the employee in the territory of the enterprise.

Thus, integration of systems on the basis of data exchange provides insignificant decrease in labor costs of responsibles, but does not allow to solve all available problems. Economic effect of data exchange small. The set of the specified factors causes the need for more large-scale integration level of information systems.

The software product provides almost full integration of SKD "Gate" with the application solutions "1C: Payroll and HR Management 8" and "1C: Manufacturing Enterprise Management 8". A system supports multicorporate accounting. One information base "Gate-Personal" can work with several information bases "1C: Payroll and HR Management 8" and "1C: Manufacturing Enterprise Management 8". The solution "Gate-Personal" can be also used as an independent information system.

Users of the application solution are the security service, accounting and personnel department of the enterprise.

Security service

The security service uses the Gate-Personal system for the organization of access control and differentiation of the rights of admission of employees and visitors of the enterprise to different premises. At the same time management of "Gate", purpose of admission, issue of admissions, operating control of movements and monitoring of events of SKD are executed directly in "Gate-Personal" in real time. It allows to exclude completely the need for the certain operator of SKD. The possibility of control of entrance/departure of motor transport is implemented.

Storage of photos of visitors and also the scanned images of their documents is provided in a system. The possibility of photoverification of employees and visitors at pass through photoverification points is implemented.

Enterprise accounting

Accounting has an opportunity to conduct payroll on the basis of sheets of a time recording which form automatically directly in "1C: Payroll and HR Management 8" and 1C: Manufacturing Enterprise Management 8 on the basis of data of SKD "Gate".

Flexible configurations allow to organize the necessary system of rules for automatic calculation actually of a worked time in a user mode. When calculating actually of a worked time it is possible to use several strategy of calculation – "the first input / the last exit", "each input and output", etc.

In the solution formation of the sheet taking into account change of the working schedule of the employee during the reporting period, taking into account local business trips, taking into account processings and also taking into account work is provided in evening and night time. Geographically distributed objects are a part of some enterprises. For this situation a system provides formation of the uniform sheet of a time recording regardless of quantity of objects on which the employee during the reporting period moved.

Personnel department

Reports of the solution "Gate-Personal" allow personnel department to analyze delay and early goings from work of employees for any time frame, to control compensatory leaves and local business trips. Also the analysis of processings and distribution of a worked time taking into account evening and night hours is provided.

As practice showed, operating control of labor discipline allows to reduce the number of delay and early goings of employees by 20–30%. Besides, at automatic formation of the sheet of a time recording costs of time for payroll are significantly reduced and the procedure of calculation becomes simpler.
