Opening of the dental salon "Konsul" (Nizhny Tagil) offering a full range of dental services took place in 2003. After licensing by salon in 2007 of services in therapeutic cosmetology it began to render also services regarding esthetic and functional restoration.
In the course of the primary record of the client the administrator of salon should register its data. When timing of which the client should attend on appointment the administrator needs to be guided by the relevant working schedule of specialists of the center. All planned cases of substitution, combination and absence of specialists should be reflected in the working schedule. For constants and also especially important clients in salon discounts on payment of the rendered services which should be taken into account when calculating cost of payment are provided. Rendering services is followed by the material consumption which also should be considered. In addition to rendering services the salon is engaged in sales of goods, corresponding to its profile of activity that causes the need for accounting of goods. At payroll accounting of salon needs data on time management, worked specialists, and the corresponding tools for the analysis of different aspects of activity are required for its management.
Existence listed and also some other tasks was premises for the project of automation. After the analysis of software products the management of salon made the decision on implementation of an automated system on the basis of the application solution "Halibuts: Beauty and Health" on the 1C: Enterprise 8.2 platform.
Project works of automation were charged to developers of this software product – specialists of Company of Halibuts (1C: Franchisee, Nizhny Tagil).
Solution "Halibuts: Beauty and Health" it is intended for automation of operational accounting in the fitness centers, sports and dancing clubs, beauty shops, pools and saunas and also in the children's centers of development. Generally the program can be used for automation of activity of any organizations focused on rendering services and for which business the possibility of storage of history of customer relations is important. Let's consider in more detail the possibilities of this software product.
Personal data of the client and also his contact information are stored in the program on a card. Each visit of the client to the organization which is followed by rendering services to it or sales of goods, is registered in a system.
Payment methods
Along with single receiving and payment of service the program allows to receive and pay also services in the agreement, in the normal or deposit subscription and also using the deposit account.
Under the agreement the client can receive some set of services without restrictions on their quantity, but during the set time frame. Paying the subscription, he thereby makes advance payment for a quantity of equivalent services or for one service which should it be rendered the set number of times. On the paid deposit subscription the client can receive any service from some set at a discount.
The individual or the enterprise can deposit money as prepayment for services into the deposit account which is opened for them in the organization. The payment for the rendered services will be charged off this account. Not only its owner, but also co-owners specified by it can use the deposit account. At its opening for the enterprise by users of services the staff of this enterprise can be, for example. The deposit account can also be used for sale of gift certificates.
For purpose of discounts to certain customer groups, for example pensioners, children, students and own employees, in the program categories are used. Application of personal discounts which are appropriated to clients in an individual order according to the solution of the head of the organization is provided.
Work with clients
For ensuring high service rate of clients and comfortable work of employees the special "Workplace of the administrator" is provided in the program. With its help it is possible to create the schedule of work of specialists, to register prerecording of clients, to note time which is actually worked employees to create the report on implementation for the present day and to perform other operations. On a desktop information on the sold goods and services and also on a cash amount in cash desk is available to the administrator.
Data entry of new clients, design of sales of services and goods, agreements and subscriptions, reference of the client to a certain category belong to duties of the administrator. When settling with the client data on the debt of the client, his current agreements, normal and deposit subscriptions, categories and personal discounts are available to it. The possibility of viewing personal data of the client and history of his visits to the organization is implemented.
Pricing
The program allows to use several price types, for example for the employees or for certain categories of clients and also stores the history of their change. Price adjustment is allowed only users with the appropriate rights.
The cost of goods and services is calculated in the program automatically on the basis of the existing documents of the client, for example the agreement, the subscription or the deposit subscription taking into account category of the client and a personal discount if it takes place.
The program gives the chance to create the discounts operating in certain time of day on the set schedules or for a certain number of the implementable nomenclature. Discounts can be appropriated to owners of agreements, subscriptions, deposit subscriptions, certain categories of clients and also can be appointed personally. Creation of the discounts operating for all visitors, for example morning discounts or discounts when holding actions is possible.
Accounting of goods
Design of operations on receipt, write-off and movement of goods is provided in the program. The possibility of automatic write-off of supplies on the basis of write-off regulation at service sale is implemented.
The program allows to appoint the employee materially responsible for a warehouse. Further at sale by this employee of goods or rendering services it will automatically determine a warehouse from which it is necessary to write off the implemented goods and the used materials.
Salary and personnel
Documents for a design of employment, employee transfer and dismissal of employees are provided in the program.
Payroll will be executed on formulas in which its parameters are used. Use of standard parameters allows to execute calculation for a piece-work pay, payment for a rate for actually worked time and also for calculation in the form of percent from a sales amount or a margin. It is possible to use any parameters of calculation also.
Result of automation
Project works of automation were performed within four months. Now in salon five jobs are automated. As a result of automation the director, the accountant, the administrator and also two specialists in dental offices work in the unified information system.
All customer information is systematized now that provides substantial increase of speed of their service. The head, specialists and administrators can get online access to information on history of visits of clients, to the schedule of specialists and procedures and, thus, to coordinate the work. When passing by the patient of a course of treatment who consists of several procedures the reminder on the following acceptance is entered into a system. Now the administrator can trace date of the following procedure and remind of it to the client.
As a result of automation became simpler and there was more convenient a maintaining cards of patients. In the patient's card in a system the clinical record is fixed, the medical plan is formed. The calculation of cost of treatment executed on the computer of the doctor becomes available at once on the computer of cash desk in which calculation with the client is made. The management of salon had an opportunity to analyze different aspects of its activity using reports.
