The DIRECTUM company announced in May, 2011 completion of replication of the DIRECTUM ECM system on all structure of Gazprom transgaz Tchaikovsky LLC. On project deliverables in a system about 1100 employees at the same time work.
The implementation project of the DIRECTUM ECM system in Gazprom transgaz Tchaikovsky began at the end of May, 2008. Except classical problems of acceleration of document flow, work with the entering and outgoing correspondence and creation of uniform electronic storage of documents the tasks, specific to the enterprise, – in particular, work with internal documents of Gazprom were set for the working group of implementation.
Project implementation was separated into three stages. First of all, implementation of DIRECTUM was carried out in Management of logistics and complete set (UMTSIK), then, at the second stage, the control structure was connected to an electronic document management system. At the first and second stages the research was conducted and project solutions which had to become a basis for the subsequent implementation in all branches are developed.
Replication of a system on all structure of GTCh became the third stage of an implementation project. Works on replication started in March, 2009. Consultants of DIRECTUM company and also specialists of the Certified partner of DIRECTUM, Permintekh company who were attracted for consultation of users and holding the training seminars were a part of the working group of replication. During the third stage the following business processes were automated:
- work with incoming documents;
- work with outgoing documents;
- approval of orders and orders on primary activity;
- approval of memos;
- approval of contractual documents;
- approval of requests for a car - and the air transport.
First of all automation was distributed on the branches which are in close proximity to Tchaikovsky: Technical Center (TC), Chaykovsky health facilities, Management of Emergency recovery operations No. 1. In parallel with it monitoring of system operation in a control structure was performed. According to the results of the first 6 months of a full-fledged work of Administration in DIRECTUM audit of a system therefore wishes were determined by further development of a system was booked and 2 new standard routes ensuring functioning of customer services of the company are created: "Work with requests in ITTs" and "Requests in service of automation, informatization and telecommunication (SAIT)". Due to transfer to an electronic form of process of submission of requests to ITTs and SAIT load of the staff of these services was considerably reduced and processing of the requests arriving on a centralized basis from all branches accelerated.
In 2009 automation of the branches which are in the territory of the Udmurt Republic was complete: Votkinsk health facilities and Uvinsky health facilities. Since 2010 replication was performed in parallel by two commands with involvement of partners. At the same time during the project 2 branches from 18 were automated independently by forces of specialists of GTCh.
Technically work of staff of GTCh in the DIRECTUM system is organized on 1 main thing and 15 secondary servers. 2 more remote divisions of Administration, 3 branches and one division of remote branch work at a master server in addition to Administration of Society.
Within the project integration of DIRECTUM with the ERP system of KAS "Executive suite" is performed. In a system the processes which are taking place between several branches are implemented:
- approval of memos;
- approval of contractual documents;
- work with requests in ITTs;
- approval of requests for special equipment and air transport;
- requests in SAIT.
In the DIRECTUM system about 1100 users at the same time work on 16 servers. At the same time the number of the registered users contains more than 2200. Daily in a system from 500 to 750 documents are created.
Evgeny Durmanov, the project manager of implementation of DIRECTUM company, notes: "If at the beginning of the project the staff of GTCh watchfully treated implementation of DIRECTUM, then by the end of replication branches already looked forward consultants as over time all felt advantages of work in a common information space. The notable effect of implementation became an incentive for employees: before emergence of DIRECTUM approval of agreements of Service of corporate protection in Tchaikovsky borrowed about one month, and after system implementation in branches process of approval was considerably reduced".
Further development of the DIRECTUM system in GTCh will be connected with implementation of the additional wishes and requirements which arose during replication.
