2020: Automation of work with requests for a business trip and expense reports

On October 26, 2020 the Neti company reported that it automated work with requests for a business trip and expense reports in Tattelecom company.

According to the company to automate issue of imprests, a design of business trips and expense reports, the guide Tattelecom made the decision to implement instruments of automation. The IT system created by Neti allows to optimize efficiency of business processes both during a pandemic, and in a normal operation mode.

Tattelecom provides with communication of private and corporate clients across all Tatarstan. For this purpose thousands of people regularly make business trips on the republic. Much of them need cash which is issued as travelers or on other expenses.

Till 2020 all requests and reports were given in paper form. Approvals of documents of "live" signatures took away a lot of time from employees and also complicated processes of management of finance. And in the conditions of a pandemic this method of work was at all unacceptable because the absence of the head in a workplace became a norm.

The optimal solution of a task was proposed by the Neti company having extensive examination in the field of mobile and web developments and also maintaining integration projects with Microsoft Dynamics AX technologies. Specialists of Neti undertook development of the universal solution under approval of requests for a business trip, issue of imprests and execution of expense reports.

For the customer departments of design, a backend and frontend-developments and also Microsoft Dynamics AX specialists were connected to creation of the portal. The team of 7 people carried out all works and completed the project in 5 months, despite the restrictions connected with a coronavirus.

The internal portal for Tattelecom was developed as the universal web platform. Participation of developers from different commands allowed to provide its functioning on different devices. As a result heads and responsible persons who can be in other city or just work in the remote mode, had an opportunity to approve requests, to accept reports directly on the smartphone or the tablet, or to use any desktop computer or the notebook connected to the Internet for these tasks.

In Tattelecom the accounting system of Microsoft Dynamics AX 2009 in which accounting, tax and personnel records and also all financial processes of the company are automated is used.

Part of the Microsoft Dynamics AX 2009 functions in the next years can be transferred to more modern applications therefore the Neti command made the decision to create the portal independent of the accounting system. Such approach allows to work with the current automation equipment.

At the expense of a full integration with Microsoft Dynamics AX 2009 of the request for money transfer, expense reports created on the portal are routed in the accounting system live. Also the web portal helped to automate processes of approval of business trips, having accelerated process of document creation and issue of money.

During the work with finance documents safety and separation of access was ensured. Users of the portal can address only those requests and documents which have relation to them or demand from them approval.

Tattelecom a "turnkey" ready system was necessary. As a result development was conducted on the Neti servers, and test access was provided to responsible persons from the Customer. The web platform was created step by step, two-week sprints. At intermediate meetings TOP MANAGEMENT of the customer estimated results and stated wishes to correct development.

Upon completion of the project specialists of Neti reported to the customer the source code, and a system was unrolled on internal servers Tattelecom according to the instructions which are specially prepared by specialists of Neti.

Under the terms of the contract Neti gives technical support and support of the updated solution in the first months of operation. This process includes consultation and implementation of additional components, requirement for which became clear during commercial operation. For example, on the project opportunities for system administrators and heads were expanded. On requests of department of accounting fields were added to printed forms.

When the stage of maintenance is completed, Neti can provide the necessary level of user support or completely transfer the portal to internal IT department of the company. Platformo-nezavisimy (in terms of the accounting system) the portal provides upgradeability of the accounting system without binding to specific suppliers or solutions. Thanks to it Tattelecom has possibilities of upgrade of the financial IT systems, using at the same time all opportunities of the web portal.
