In TEVIS company system implementation of electronic document management based on the DocsVision platform is complete

The TEVIS open joint stock company, the main network enterprise warm, water supply and water disposal of the Avtozavodsky district of the city district of Togliatti, began commercial operation of the electronic document management system (EDMS) based on the DocsVision 4.5 platform. At the moment in a system about 50 employees of the central office and territorial and remote divisions of the company work.

Increase in efficiency of acceptance and control of management decisions at the enterprise, increase in efficiency of documentation of a management activity and the organization of work with documents was a main objective of implementation of EDMS. Implementation of effective objectives was possible at the solution of a number of tasks: creations of a single system of document flow for the central office and territorial and remote divisions of JSC TEVIS, reduction of time expenditure of employees for work with documents and also ensuring transparency of processes of preparation, approval and execution of documents.

For creation of EDMS by TEVIS company the solution of IT Universe company implemented based on DocsVision was selected. "A system is constructed on IT Universe developed by specialists, the application software solution expanding functionality of a system and giving to the Customer an opportunity of the subsequent completion by own forces or using the partner company", - Vladimir Makhlin, the technical director of the company of IT Universe commented.

In the project progress specialists of IT Universe carried out the analysis of business processes, business process automation, the entering, outgoing, internal and administrative documents and control of performing discipline connected with processing is performed; trial operation in the course of which completion of functionality of a system according to wishes of users was executed is carried out. A system was put into operation within two months.

The electronic document management system implemented in JSC TEVIS provides significant increase in efficiency of work with documents due to automation of basic processes of document flow and also increase in efficiency of exchange of documents and information between divisions. A system improves document flow status monitoring, excludes loss of separate documents, allows to trace all levels of execution of documents, employee occupation, provides automation of regulations and processes of imposing and performance of resolutions. The solution based on the DocsVision system reduces time for document retrieval, reduces costs for document handling in divisions and preparation of the set reporting for the set time frames.

In plans of JSC TEVIS there is a further development by the created EDMS: at the enterprise implementation of means of the EDS for giving of the legal importance of electronic documents, carrying out integration with a system financial and accounting on the 1C Platform and also automation of additional business processes is planned; the number of users of a system will increase.
