JSC Kondopoga together with 1C: Franchisee of Neosystems Northwest LTD was announced a successful completion of the project of automation of motor transportation division (ATP) based on the 1C: Motor Vehicle Management 8 software product. The customer had an opportunity to quickly control and analyze costs of division, to estimate efficiency of vehicles and work of service staff. Implementation of an automated system allowed to increase profitability of ATP, to optimize the park of vehicles and staff of the enterprise.

JSC Kondopoga is one of the largest enterprises of Russia and Europe specializing in production of newspaper and brown paper. Production capacities of the company allow to make about 750 thousand tons of paper a year. The enterprise constantly is engaged in production modernization.

The motor transportation division of JSC Kondopoga not only is responsible for uninterrupted transportations of raw materials and products of own enterprise, but also renders services to third-party customers. Today in ATP 538 employees work. Vehicle fleet contains about 360 pieces of equipment: passenger and trucks, timber carrying vessels, tractor and construction and specialized equipment.

For increase in efficiency of this division, it was required to company management:

  • Rationalize use of working time, reveal its unproductive losses, optimize staff of repair and service staff.
  • Organize control of direct costs and profitability by the separate vehicles (V) and motorcades for operational management of the total costs of ATP.
  • Rationalize work of a warehouse of spare parts: solve a problem of timely replenishment action in a warehouse and reduce the volume of not used stocks.
  • Strengthen control of operating costs.

For the solution of these tasks it was necessary to automate work of ATP. The 1C: Motor Vehicle Management 8 software product which is specially intended for complex business process automation in the transport organizations and divisions was selected. Implementation of the software product was performed by Neosystems Northwest LTD company which already had an experience of automation of ATP.

Input of a system in commercial operation was performed step by step:

  • Accounting of work of dispatching office;
  • Accounting of repairs and maintenance;
  • Inventory control of spare parts;
  • Calculation of cost of the rendered services;
  • Time recording and calculation of charges to drivers;
  • Cost accounting.

As to the Customer it was important that by the end of the project own specialists of IT service could accompany and develop independently created system, throughout all project the staff of the enterprise actively participated in the project. The work organized thus allowed to receive the first results from use of a system in 2 months after the beginning of implementation.

During the project more than 40 jobs are automated. In a system work: analysis department, department of automated control systems, motor transportation workshop, dispatching service, department of planned maintenance, economic department, accounting, section of regulation of work and salary, warehouse. Use of a single system accelerated information exchange and improved interaction between departments.

As a result implementation of an automated system allowed to achieve the following results:

  • An opportunity to control time which is actually worked drivers and to carry out the plan-fact analysis is implemented. Losses of working time were as a result reduced, the efficiency of service staff increased.
  • Routine operations with the statement of traveling and repair sheets are automated, work of dispatching service is optimized. Were engaged in processing of waybills earlier: managers, special department of operators, accounting, work regulation engineers. Process took a lot of time, there were many errors. After automation complete processing of the waybill is made directly by managers and takes only 3 minutes.
  • Management of the CU park is optimized:
    • the possibility of planning of orders for vehicles and control of their execution Improved, the efficiency of use of the park of the equipment is as a result increased.
    • a New system allowed to optimize accounting of direct costs of the CU, to distribute indirect costs between cars. It is possible to define profitability of each separate CU and, respectively, to reveal unprofitable units of transport. This information helped the management of ATP to optimize the CU park.
    • a System allows to control technical condition of the park at any moment, to consider repairs and planned checkups, informs on terms of approach of the next TO. Also in a system control of validity periods of registration documents of drivers and the CU is provided. Operational accounting of wear of buses and units is kept that gives the chance timely to fill up warehouse stocks and to exclude outage of technology due to the lack of necessary spare parts.
    • control of use of the CU using "The sheet of accounting of vehicles" Is organized. It allowed to define effectively loading of the CU and to reduce idle times.

  • 1C: Motor Vehicle Management 8 is integrated with the GPS monitoring system of transport and control of fuel consumption used in ATP. Calculation of consumption rates and its comparison with the actual indicators is made automatically. Account and control of receipt, issue and a consumption of fuel and lubricants is kept that allows to control fuel accounting more effectively.
  • The mechanism of automatic calculation of charges to drivers on the basis of these waybills is implemented. As a result labor costs of specialists of accounting decreased, the quantity of errors in settlings with personnel was reduced several times.
  • Calculation of cost of transport services can be conducted on the basis of the flexible system of price lists and rates now. It allows to manage costs and to set the necessary prices. Formation of accounts and acts for the rendered services is automatic. More flexible price policy and increase in efficiency of service positively affected customer relations.

Head of the analytical department of JSC Kondopoga Nikolaev Dmitry Anatolyevich: "Implementation of the 1C: Motor Vehicle Management 8 program allowed to carry out deeper job analysis of ATP in respect of use of motor transport, accounting of transportation costs in cuts of vehicles and customers, accounting of a consumption of fuel and lubricants, uses of working time of drivers. Operating time of specialists of ATP was considerably reduced by the analysis of transport and economic indicators of workshop. Now we can analyze data which could not be received earlier – from indicators of profitability of the separate CU to profitability of all division. It is especially important that thanks to an ACS heads always have up-to-date and realistic information necessary for decision making. Thus, we have now an opportunity to reduce the costs and to increase profit, the company can quicker react to some changes, adapt and remain the competitive and successful organization".
