The 1C: Accounting and Trade company (BIT) successfully completed the works on start of an electronic document management system in service company "Alyans-Energy". 1C: Document Flow 8 allowed to accelerate twice processing and approvals of documentation and also to adjust timely data exchange between regional divisions of the company.

"Alliance-Energy" ‑ the service company proposing complete solutions in the field of monitoring, operation, service maintenance and upgrade of power generating systems of the enterprises. The company has the branched, constantly developing branch network. The head office is in St. Petersburg, and branches – in the Tomsk region (of Strezheva), the Tyumen region (Nefteyugansk), the Samara region (. Pleasant). Work with the large volume of documents is one of key business processes in "Alliance-Energy".

In a month after opening the staff of the company felt the shortage of a single system on work with documents: agreements were lost, data exchange between regional offices was at a loss, approval dragged on. Besides, the management "Alliance-Energy" decided to introduce the international quality management system that increased the number of documents and strengthened load of employees. It was necessary to arrange a big flow of documents in short terms, to provide their safe storage and also to establish accurate cooperation of all offices for fast approval and data exchange.

As initiators of automation employees "Alliance-Energy" acted, many of which already got used to work in an electronic document management system. The 1C: Accounting and Trade company (BIT) became the partner in implementation. The choice of the management was influenced by experience of BIT company in implementation of similar projects, including with the assistance of current specialists "Alliance-Energy" on former work locations. For project implementation the 1C: Document Flow software product which has necessary functionality was used and checked in practice by many Russian companies.

Active joint work of specialists BIT and "Alliance-Energy" allowed to implement 1C: Document Flow, having met the set deadline and the budget. Now in a system more than 80 users from regional offices work.

Main results:

  • Processing of a big flow of agreements accelerated. As in a system ready templates for different agreement types are configured, on execution of one document at the employee about two minutes leave. Earlier this process took several times more time.
  • Between all branches of the company data exchange online is set. At the expense of it time of approval of internal documents was cut by half. The staff of each office of Alyans-Energy company obtains information on orders of the management in time. It considerably helps top management with enterprise management.
  • It was succeeded to eliminate losses of documentation. A new system provides reliable storage of all data distributed according to separate folders. At the same time access for employees to this or that folder can be limited by the set access rights.
  • Integration of 1C: Document Flow 8 and 1C: Accounting 8 allowed to accelerate settlement under agreements and to carry out payments to the minimum terms.
