2022: Signing documents 3 times faster
Documents in Mediascope are created and signed without paper and 3 times faster thanks to the implementation of CEDO. In order to assure a statement or act, employees no longer need to go to the office. This was announced on August 16, 2022 by Directum.
First of all, documents related to the registration of vacations were transferred to electronic form. Then - about changing positions, salaries, payment of bonuses and common to all employees (for example, labor regulations).
As a result of the project:
- employees draw up and sign personnel documents without visiting the office;
- reduced labor costs of HR specialists;
- the risks of fines for personnel document management have decreased.
Mediascope has been using Directum since 2017. The pandemic, the transition to a remote format of work and the hiring of employees from different cities brought to the fore the need to optimize personnel processes.
The changes affected all specialists of the organization, each of whom solves everyday tasks in the Directum system, as well as in the mobile applications Directum Solo and Directum Jazz on tablets and smartphones. The contractor for the project was TANAiS, a business partner of Directum.
Mediascope Group plans to introduce a long-term Directum archive.
2011: Start of Directum implementation
TANAIS announced in November 2011 the launch of a project to introduce the DIRECTUM electronic document management and interaction management system at TNS Russia, a leading media and advertising research company.
The TNS Group is the world leader in providing comprehensive media and marketing information, conducting research in more than 80 countries around the world. At the world level, TNS is part of the international advertising and communication holding WPP. In Russia, TNS implements a full cycle of work in the field of media measurements, advertising monitoring and marketing research. The TNS Russia group consists of three companies with a total staff of about 500 employees.
TNS Russia has document management standards that require multi-stage coordination within the group of companies. In this regard, in 2011, the company's management decided to introduce an electronic document management system.
The selection of the system was carried out by a group of employees consisting of specialists from the financial, personnel and IT departments, as well as the workflow department. During the consideration of the solutions on the market, special attention was paid to several factors:
- availability of web access to the system, as well as access from mobile devices;
- Integration with Microsoft Office
- The ability to refine the system for business processes adopted in the group of companies;
- The ability to use SQL Server as a DBMSicrosoft.
In addition, in connection with the decision to independently implement the system by employees of the IT department, the number of successful implementations and the continuous development of the product by the developer were taken into account when choosing. As a result of the functionality analysis, the electronic document management and interaction management system DIRECTUM was preferred. The supplier of the system was the Certified Partner of DIRECTUM - TANAIS.
The DIRECTUM implementation project was launched in August 2011. The main task of the implementation was to automate the coordination of invoices. The solution of the task is based on the functionality of the DIRECTUM Basic Modules, as well as the Contract Management Module. To enable self-development of the system based on the subject-oriented IS-Builder development tool, a developer client license has been purchased. Remote work is organized on the basis of a web access server.
DIRECTUM is under test operation in two departments of the company. Specialists of the IT department prepare a list of wishes for the subsequent development of typical routes of the system. In addition, DIRECTUM directories are currently being adapted to the organizational structure of the TNS group.
The plans for the next six months include the transfer to the electronic form of the contract approval process and the automation of the work of all departments involved in the processing and approval of accounts, as well as the contractual process.
