The AND Project company and Olympus company announced in November, 2011 creation of the automated control system based on the ERP system of Microsoft Dynamics AX in the Russian division of corporation.

"In a project deliverable a system which increases transparency and efficiency of accounting and control is created, allows management to see a complete picture of activity of the enterprise and to quickly make the justified management decisions. Using the ERP system business processes of the financial, accounting and management reporting and also sales management are automated", - Rossiyev Sergey, the CIO notes Olympus Moscow.

Olympus in Russia is Olympus Europe Holding subsidiary company with the headquarters in Hamburg. The number of employees of Olympus in the world exceeds 30,000 people. At the moment Olympus - leading manufacturer of professional optodigital products. In Russia the company develops two main directions of business – sale and service maintenance of the medical and industrial endoscopic equipment and also photo and audio equipment of "OLYMPUS trademark. The service network contains 27 regional points, in addition to Moscow, there are official representations in St. Petersburg and Kiev.

Extensive growth of all directions of business and also high requirements to the corporate reporting, opportunities according to the analysis and business management – all this led to what the information systems existing in the company ceased to satisfy to requirements of management. Consolidation of two directions of business Olympus in Russia – the Olympus Moscow company working in the field of the medical equipment, and Olimpus Rus, which is engaged in photo and audio equipment became additional premises of the ERP project.

As a result, the decision to create a new ERP system was made that on a single information platform to integrate all business processes at the level of Olympus corporation in Russia.

After the careful analysis of possible options and taking into account experience of Olympus Moscow company with the Microsoft Dynamics AX 3.0 system the solution was accepted for benefit of the ERP system of Microsoft Dynamics AX 2009. When choosing the partner in implementation the key role was played by the recommendations of Microsoft corporation. Project implementation was entrusted AND Project company which has experience of successful implementation of difficult projects and own solutions considering specifics of business of Olympus.

Within the project such functions as are automated: stock accounting, conducting settlings with partners, completion of standard functionality on the organization of the automated fixed asset accounting, intangible assets on an unlimited number of models, conducting operations with the Ledger, accounting and allocation of costs is carried out. Possibilities of obtaining the management reporting, accounting of money, monetary documents and the financial investments are also provided in a system.

"As our company provides the financial and management reporting to the headquarters, it is important for us that a system supports accounting according to international standards, - Sergey Rossiyev comments. - In the solution of AND Project in one financial circuit IFRS and the Russian accounting are implemented. It is very convenient. If earlier employees spent a lot of time for drawing up reports on corporate standards, then now we receive them from the ERP system".

New ERP is integrated with two different systems bank client and with the ADP system (it is used by customer service). Based on Microsoft Dynamics AX internal electronic document management - the adoption of agreements, supplementary agreements and requests for payment will be implemented.

The project team of specialists of AND Project and Olympus automated sales management and developed additional functionality taking into account specifics of the different directions of business of Olympus.

For effective work of department of photo and audio equipment in the ERP system purchases taking into account the shifts in demand are planned for these or those products. Managers quickly trace in a system a remaining balance of machinery and equipment in warehouses and timely resupply. "Thanks to Microsoft Dynamics AX 2009 the transparency of the movement of warehouse stocks considerably increased. Now in 99% of cases it is possible to trace the movement of any unit of production: which of employees made out the order when at what cost, whether there were movements on warehouses", - Sergey Rossiyev comments.

Within additional functionality of AND Project developed a system of accounting of a credit line for distributors - exceeding on limits is automatically monitored. Similar function of control helps Olympus to work with the partners even more effectively.

For the direction of medical equipment in ERP accounting of the demonstration equipment is implemented. Olympus uses the expensive hi-tech equipment with participation in profile actions. The separate card is provided in a system on each item of equipment: technical condition, depreciation are considered, history is conducted (equipment type, when whom, to whom, to what term and in what status it was transferred).

In a new system the key existing practices made within earlier implementation of the version of Axapta 3.0 are combined with basic functionality of the Microsoft Dynamics AX 2009 system and specialized solutions of AND Project.

"Joint efforts of specialists of AND Project and Olympus we created the ERP system which allowed the Russian division of Olympus to integrate business processes and to completely conform to corporate standards in the field of accounting and financial accounting and also sales management", - Sergey Rossiyev notes.
