The Department of Mineral Resources of the Irkutsk region begins an implementation project of an electronic document management system and interaction management of DIRECTUM. In only one month it is going to automate work of office and all departments of Management.
The Irkutsk Department of Mineral Resources (Irkutsknedra) is division of Federal Agency for Subsoil Management and performs functions on rendering public services and management of state property in the field of subsurface use in the Irkutsk region. The management will organize the state geological studying of a subsoil, examination of projects, carrying out geological and economic and cost assessment of mineral deposits and also performs organizational support of the state system of licensing of use of natural resources.
The specifics of activity of Management are connected with large volumes of paper documentation which registration and approval according to internal regulations requires strict observance of routes. The best implementation of these tasks Irkutsknedr saw the management in automation of work of office and creation of electronic archive of documents. With respect thereto it was decided to implement the system allowing to organize electronic document management and to facilitate interaction of employees.
The choice of a system was initiated by the head of department of finance Irina Pertseva. Preference was given to the DIRECTUM system which has well implemented office, completely corresponding GSDOU, and convenient archive of electronic documents. For work the Sibron Consult company was selected.
Implementation started in December, 2011. The project is based on functionality of the Basic modules DIRECTUM and the module Office. In addition to the main objectives of automation of office-work and creation of archive of electronic documents, issues on development of corporate standards, drawing up standard document templates and regulations, separation of responsibility and powers will be resolved.
The implementation project is going to be completed in one month. In a system work of office, department of economy, finance, accounting and legal support, departments of licensing and reproduction of mineral resources will be organized. Upon termination of implementation all documents coming to Management will be registered in electronic form and to be brought from the scanner in electronic archive which all employees interacting in a system will be able to address. Execution of instructions will also be controlled electronically.
At the subsequent stages it is going to automate works on agreements and holding meetings.
